- Tuesday – Saturday
- Tuesday and Thursday evenings until 8:30 p.m.
- Saturday 8:00 a.m. – 1:00 p.m.
- Additional evening, weekend, holiday, and special event hours as needed

Position Overview
The Assistant Volunteer Coordinator supports the Volunteer Coordinator in creating meaningful volunteer experiences that advance Heartland Hope Mission's mission. This position serves as a welcoming host for volunteers, volunteer groups, churches, schools, businesses, and community partners while helping coordinate volunteer projects, service activities, and client events.
The Assistant Volunteer Coordinator plays a key role in volunteer engagement, volunteer retention, project coordination, event support, and administrative functions. This individual helps ensure volunteers feel welcomed, appreciated, informed, and connected to the impact of their service.
Essential Duties and Responsibilities
The position of Assistant Volunteer Coordinator includes, but is not limited to, the following duties and responsibilities:
Volunteer Engagement and Coordination
- Help prepare volunteer project materials and set up work areas before volunteers and groups arrive.
- Greet, check in, and welcome volunteers, ensuring a positive and meaningful experience.
- Serve as a host for volunteer groups by providing tours, orientations, project instructions, and organizational information.
- Assist with volunteer orientations and safety training for individuals and groups.
- Provide direction, encouragement, and assistance to volunteers during service activities.
- Conduct presentations to volunteer groups about Heartland Hope Mission, its mission, programs, and impact.
- Assist with scheduling and confirming volunteer groups during peak seasons and throughout the year.
- Build relationships with volunteers and ensure they feel valued, appreciated, and connected to the mission.
- Help identify opportunities to improve volunteer engagement, satisfaction, and retention.
- Assist with volunteer recruitment efforts through community outreach, tours, events, and relationship-building opportunities.
Project and Event Support
- Help plan, coordinate, set up, and tear down volunteer projects and client events, including pantry distributions, holiday programs, community outreach events, and special initiatives.
- Coordinate logistics such as supplies, signage, volunteer assignments, and event materials.
- Provide on-site support to ensure events run efficiently and reflect Heartland Hope Mission's commitment to excellence.
- Assist with volunteer appreciation and recognition activities throughout the year.
- Assist with Christmas toy collection and distribution activities during the holiday season.
- Occasionally represent Heartland Hope Mission at community events, outreach opportunities, and volunteer fairs.
- Assist with organizing volunteer-driven donation drives and community service projects.
Volunteer Stewardship and Communication
- Send thank-you messages, cards, and follow-up communications to volunteers and volunteer groups.
- Assist in cultivating relationships with churches, schools, businesses, civic groups, and community partners that volunteer with Heartland Hope Mission.
- Help collect and organize volunteer stories, testimonials, photos, and feedback for volunteer recognition, fundraising, marketing, and communications efforts.
- Respond promptly and professionally to volunteer inquiries.
- Represent Heartland Hope Mission's mission, values, and faith-based culture in all volunteer interactions.
Safety and Program Support
- Monitor volunteer work areas to ensure compliance with safety procedures and organizational policies.
- Assist volunteers in understanding proper procedures and expectations while serving.
- Report concerns, incidents, or facility issues to appropriate staff members.
- Support the Volunteer Coordinator in implementing new projects, systems, and improvements to the volunteer program.
Administrative Support
- Maintain volunteer records, attendance, service hours, and database information with accuracy and attention to detail.
- Assist with scheduling, reporting, filing, and general administrative duties.
- Help maintain organized storage areas and inventory of volunteer, event, and project materials.
- Assist with preparing reports and tracking volunteer participation and engagement metrics.
Qualifications, Knowledge, and Skills
- High school diploma or equivalent required; some college coursework or volunteer management experience preferred.
- Experience working with volunteers or in customer service, hospitality, event coordination, ministry, nonprofit, or administrative support roles preferred.
- Strong organizational, communication, and interpersonal skills.
- Comfortable speaking in front of groups and leading volunteer orientations and presentations.
- Strong customer service mindset and commitment to hospitality.
- Friendly, welcoming, and servant-hearted personality with a passion for serving others.
- Ability to build relationships with individuals from diverse backgrounds.
- Ability to multitask and work effectively in a fast-paced environment.
- Ability to work independently and collaboratively as part of a team.
- Strong problem-solving skills and ability to adapt to changing priorities.
- Comfortable performing both administrative duties and hands-on service activities.
- Proficiency with Microsoft Office and willingness to learn volunteer management software and databases.
- Conversational Spanish preferred but not required.
- Demonstrates initiative, flexibility, enthusiasm, and a positive attitude.
Physical Requirements
- Ability to stand and walk for extended periods of time.
- Ability to lift and carry up to 30 pounds.
- Ability to set up tables, chairs, displays, and event materials.
- Ability to work in warehouse, pantry, office, and outdoor environments as needed.

Pay: $16.50 - $18.50 per hour
