Aya Healthcare has an opportunity for a Medical Office Assistant to support a 12-week contract with a facility in Salem, OR.

- Schedule: Onsite, Mon–Fri, 8:00am to 4:30pm
- Pay: $23-26/hour

Required Qualifications for Medical Office Assistant:
- High School Diploma or equivalent
- 1+ year of using Epic EMR system
- Expertise with patient registration processes
- 1+ year of experience with patient insurance authorizations
- 1+ year of experience verifying insurances and benefits plans
- 1+ year of working with clinical scheduling systems.
- Previous experience in a multi-specialty clinic preferred.
NOTE: Candidates without Epic EMR experience will not be considered.
Duties of Medical Office Assistant:
- Greets patients and visitors in a courteous and professional manner, directing full attention to them immediately upon arrival to the department.
- Directs patients and visitors to appropriate areas and provides information regarding programs and services.
- Demonstrates proficiency in operating hospital telephone and paging systems.
- Screens and directs calls appropriately, pages staff, accesses voicemail, and relays messages clearly and concisely.
- Maintains professional phone etiquette and establishes positive working relationships with referring physician offices and internal staff.
- Accurately and courteously schedules patient visits and/or procedures to support efficient clinic flow and minimize patient wait times.
- Follows clinic procedures related to no-shows, late arrivals, discharge from practice, and payer mix while maintaining excellent customer service.
- Completes patient registration and pre-registration accurately and in accordance with established policies and procedures, including:
- Conducting patient searches and verifying identity using a minimum of two identifiers
- Assigning valid medical record numbers and ensuring one medical record per patient
- Verifying accurate patient name spelling
- Collecting demographic information, including mailing and residential addresses
- Obtaining insurance, third-party liability, and billing information
- Using correct guarantor information
- Verifies written physician orders against scheduled procedures and follows department procedures for written verification of verbal orders.
- Verifies insurance benefits and utilizes available tools and systems (HDX, PhTech, etc.) to determine eligibility and complete MSPQ requirements as needed.
- Collects co-pays, co-insurance, and past due balances while processing credit card transactions appropriately.
- Maintains and updates co-pay/co-insurance fields within Epic.
- Balances cash drawers and prepares deposits according to department procedures.
- Collaborates with Professional Billing, Hospital Billing Services, Charity Care, and additional resources to assist patients with payment options.
- Obtains and verifies referrals and secures pre-authorizations and authorization renewals as needed to support reimbursement.
- Ensures diagnoses and ICD-9 codes are included with referrals and entered accurately into Epic.
- Records authorization numbers accurately in Epic when required
- Assists patients with physician-ordered referrals to additional services.
- Maintains tracking systems and follows up on services not completed within expected timeframes.
- Communicates incomplete services to clinical staff.
- Retrieves and verifies patient information and records from Epic and other departments or facilities as needed.
- Compiles and maintains paper charts prior to appointments.
- Copies chart notes upon request from the billing department.
- Maintains compliance with HIPAA and the facility's procedures regarding medical records release, including maintaining Epic release logs.
- Completes patient checkout processes and communicates follow-up instructions and rescheduling needs.
- Accurately enters charges using charge router and charge entry systems as provided by physicians and providers.
- Utilizes Epic account processing functions appropriately and modifies entries when necessary.
- Completes work queue assignments within expected timeframes and supports department workload as capacity allows.
- Maintains, edits, and updates department Cadence templates to support changing operational needs.
- Collects and compiles data related to performance improvement initiatives, patient satisfaction, advanced access scheduling, panel size, staff scheduling, and other departmental reporting needs.
- Escalates unresolved issues to department leadership.
- Maintains inventory and orders supplies while demonstrating fiscal stewardship.
