Job Title: Facilities Administrative Coordinator
Location: Nashville, TN 37201 (Onsite - 330 Commerce Street)
Duration: 6-Month Contract
Pay Rate: $21.70/hr on W2
Schedule: Monday Friday, 8:00 AM 5:00 PM
Position Summary
The Facilities Administrative Coordinator provides critical administrative, clerical, and operational support to the Facilities Department. This role is responsible for coordinating workplace services, maintaining operational records, supporting employee onboarding, and assisting with upcoming Return-to-Office (RTO) initiatives. The ideal candidate is highly organized, customer-service focused, and proficient in Excel.
Key Responsibilities
Administrative & Document Management: Create and maintain spreadsheets, reports, and facility-related records. Organize vendor work summaries and maintain electronic files within SharePoint. Order, receive, and stock office and breakroom supplies.
Onboarding & Workplace Services: Assist with New Hire Orientation documentation. Coordinate employee workstation readiness, seating assignments, and workspace relocations.
Badging & Access Management: Partner with Security to process employee, contractor, and vendor badge requests. Track expiring badges and assist with renewals or terminations. Handle parking registrations and validations.
Work Order Administration: Support work order creation, assignment, and monitoring within Angus (or similar systems). Follow up on open tickets and track vendor Certificates of Insurance (COIs).
Return-to-Office (RTO) Support: Assist with workspace readiness inspections, department moves, space planning, and conference room reservations for Phase II of the RTO project.
Qualifications & Requirements
Education: High School Diploma or equivalent required; Associate's Degree preferred.
Experience: 2+ years of experience in administrative support, office coordination, facilities, or workplace services.
Technical Skills: Strong proficiency in Microsoft Office Suite with Intermediate Excel skills (data tracking, formatting, and reporting). Experience with SharePoint and Angus (or similar work order systems) is highly preferred.
Soft Skills: Excellent organizational, communication, and customer service skills. High attention to detail and the ability to maintain confidential data with minimal supervision.
