Position Summary
The Office Assistant provides administrative and operational support to ensure the smooth day-to-day functioning of the office. This role is responsible for maintaining documentation, monitoring inventory, assisting with purchasing activities, and supporting production, logistics, and inventory processes.
Key Responsibilities:
- Maintain and organize Certificates of Analysis (COAs), Certificates of Conformance (COCs), Kosher Certifications, product specifications, Safety Data Sheets (SDS), and production documentation.
- Maintain an accurate registry and inventory of packaging materials.
- Work closely with the Production and Logistics teams to monitor inventory levels of ingredients and chemicals.
- Create and process Purchase Orders (POs) and customer invoices accurately and in a timely manner.
- Assist with mid-year and year-end physical inventory counts and reconciliation.
- Process incoming mail and coordinate outgoing shipments through USPS, UPS, FedEx, and other carriers.
- Organize and maintain filing systems, both electronic and paper.
- Provide general administrative support to various departments as needed.
- Perform other office and administrative duties assigned by management.
Qualifications
- High school diploma or equivalent required; Associate's degree is a plus.
- Previous experience in an office administrative or office assistant role preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Ability to prioritize multiple tasks and meet deadlines.
- Strong verbal and written communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
Preferred Skills
- Experience working in a manufacturing or food production environment.
- Familiarity with inventory management and purchasing processes.
- Experience handling documentation related to quality assurance or regulatory compliance is a plus.
Pay: $17.75 - $19.00 per hour
