Assistant Executive Director

About the Role:
New City Supportive Living is seeking a compassionate, organized, and motivated Assistant Executive Director to join our community leadership team.
This position plays an important role in supporting the Executive Director with the day-to-day operations of the community while helping ensure exceptional resident care, regulatory compliance, strong team performance, and outstanding service to residents and families.
This is an excellent opportunity for an experienced senior living or healthcare professional who is ready to expand their operational leadership experience and continue growing toward executive-level leadership. Experience in supportive living, assisted living, memory care, long-term care, or healthcare administration is strongly preferred.
The ideal candidate is a strong communicator, collaborative leader, and effective problem solver who is comfortable managing multiple priorities in a fast-paced senior living environment.
Minimum Qualifications
- Previous leadership experience in senior living, long-term care, assisted living, supportive living, memory care, or healthcare administration
- Strong organizational, communication, leadership, and interpersonal skills
- Ability to manage multiple priorities while maintaining exceptional attention to detail
- Proficiency with Microsoft Office and electronic health record systems
- Experience with PCC preferred
- Knowledge of payroll, human resources, employee onboarding, and regulatory compliance preferred
- Experience with the IDPH Healthcare Worker Registry is a plus
Key ResponsibilitiesCommunity Operations
- Support the Executive Director in overseeing the daily operations of the community
- Partner with department leaders to promote efficient operations and exceptional resident service
- Prepare and maintain daily census reports and other operational documentation
- Manage resident financial files and administrative records
- Prepare resident leases, contracts, and admission documentation
- Complete resident admissions and maintain accurate documentation within PCC
- Order and maintain office supplies and administrative inventory
- Assist with community initiatives, special projects, and operational priorities
- Provide leadership support in the Executive Director's absence as appropriate
Human Resources & Employee Support
- Assist with recruitment, onboarding, orientation, and employee retention initiatives
- Maintain personnel files in accordance with federal, state, and company requirements
- Ensure background checks, references, required credentials, and annual training documentation remain current
- Support new-hire orientation, employee education, and compliance processes
- Partner with department leaders to address employee needs and maintain accurate documentation
- Support employee engagement and recognition initiatives
- Help promote a positive, collaborative, and accountable workplace culture
Payroll & Staffing
- Process bi-weekly payroll by reviewing timecards, correcting missed punches, and coordinating approvals with department leaders
- Maintain weekly staffing reports and assist with scheduling updates
- Communicate staffing changes and support departmental scheduling needs
- Help identify staffing concerns and collaborate with leadership on appropriate solutions
- Assist with employee injury reporting and Workers' Compensation documentation
Resident Experience & Compliance
- Support a welcoming and seamless move-in and admission process for new residents and their families
- Ensure resident documentation is accurate, complete, organized, and compliant
- Assist community leadership in maintaining a safe, positive, and resident-centered environment
- Respond professionally and compassionately to resident and family questions and concerns
- Deliver exceptional customer service to residents, families, visitors, and team members
- Support community compliance with applicable state, federal, and company standards
