The Southeast Kansas Regional Planning Commission (SEKRPC) serves local governments and communities throughout Southeast Kansas by providing planning, grant administration, economic development, housing, infrastructure, and technical assistance services.
Position Overview
SEKRPC is seeking a highly organized, dependable, and detail-oriented Administrative Assistant / Office Coordinator to support daily office operations and agency programs. This position provides administrative support in document management, meeting coordination, communications, records management, data entry, and general office administration.
Essential Duties and Responsibilities
· Answer telephone calls and greet visitors.
· Process incoming and outgoing mail.
· Maintain electronic and paper filing systems.
· Prepare, scan, copy, and organize documents.
· Manage office supply inventory and ordering.
· Assist with scheduling meetings and maintaining calendars.
· Prepare meeting packets, agendas, sign-in sheets, and handouts.
· Coordinate meeting logistics and registrations.
· Maintain stakeholder and contact databases.
· Enter and maintain information in spreadsheets and databases.
· Organize grant, project, and administrative records.
· Support records retention and document management efforts.
· Assist with survey data collection and organization.
· Draft routine correspondence and communications.
· Assist with mailings and stakeholder outreach.
· Support website and social media updates as assigned.
· Maintain mailing and distribution lists.
· Assist staff with administrative tasks and special projects.
· Assist with the organization of administrative, grant, and audit-related files in accordance with established procedures and checklists.
· Assist the agency's bookkeeper and staff with assembling and organizing records needed for audits, grant monitoring, and compliance reviews.
· Support agency events, workshops, and meetings.
· Maintain an organized and professional office environment.
· Perform other related duties as assigned.
Minimum Qualifications
· High school diploma or equivalent.
· Proficiency with Microsoft Office (Word, Excel, Outlook).
· Strong organizational and time-management skills.
· Excellent written and verbal communication abilities.
· Ability to maintain confidentiality and handle sensitive information in accordance with agency policies and applicable laws.
· Ability to work independently and manage multiple tasks.
Preferred Qualifications
· Experience in an administrative, clerical, or office support role.
· Experience organizing records, maintaining filing systems, or supporting audits, grants, or compliance-related documentation.
· Experience working with local government, nonprofit organizations, or public agencies.
Benefits
