Job Summary
NASPGHAN seeks a highly organized, detail-oriented, and proactive Project Coordinator who brings adaptability and a strong commitment to delivering exceptional member and customer service. Operating within a collaborative, team-based national office environment, this role provides vital administrative, operational, and project coordination support. The ideal candidate will seamlessly balance responsibilities across multiple core functions, including event planning, registration management, database administration, and general administrative operations.
The Project Coordinator collaborates closely with the Executive Director, NASPGHAN staff, volunteer leaders, committees, and external partners to drive organizational efficiency and strengthen internal communication across diverse initiatives. This role is ideal for a detail-oriented, proactive professional who thrives in a fast-paced environment and is energized by supporting mission-driven work that advances pediatric gastroenterology, hepatology, and nutrition care
Key Responsibilities:
Registration & Data Management – 20%
- Event Registration & Customer Service: Coordinate comprehensive registration activities for the Annual Meeting and smaller events, managing pre-event workflows and delivering high-quality customer service during on-site registration.
- Database Querying & Reporting: Conduct database queries to generate registration and demographic reports, analyzing trends to inform event planning and operational decision-making.
- On-Site Staff Supervision: Provide leadership and oversight to temporary staff during the Annual Meeting to ensure efficient registration operations and attendee support.
- Member Inquiries & Credentialing: Manage inbound email and telephone inquiries regarding event registration, abstract submissions, and the processing of Continuing Medical Education (CME) and Maintenance of Certification (MOC) credits for in-person and virtual educational events.
- Database Integrity (iMIS): Maintain and update member records within the iMIS database to ensure data accuracy and integrity.
- Data Analytics & Engagement: Export and analyze member data to produce reports and insights that support membership retention, recruitment, and engagement initiatives.
Digital Project Coordination – 20%
- Digital Content Management: Coordinate web updates and manage instructional content within the Learning Management System (LMS) to ensure information is accurate and accessible.
- Project Tracking & Delivery: Maintain and update digital project management software to monitor timelines, track milestones, and ensure projects are completed on schedule.
- Virtual Learning Support: Assist with the development, production, and delivery of webinars and virtual learning modules.
- Evaluation & Survey Design: Develop digital survey tools, online applications, and evaluation instruments to assess the educational program outcomes across various virtual platforms (webinars, meeting apps, and video-based media).
- Data Tracking & Analysis: Track program participation, key performance metrics, and stakeholder feedback to support continuous improvement programs.
Operations & Administrative Support – 60%
- Calendar & Meeting Management: Support team leads and the Executive Director by coordinating and scheduling meetings with members, partners, and vendors using digital scheduling tools and managing Zoom or Microsoft Teams links.
- Meeting Preparation & Logistics: Organize and prepare meeting packets, handouts, name badges, and related materials to ensure effective meeting execution.
- Content Creation & Documentation: Draft meeting agendas, develop engaging PowerPoint presentations, and record detailed meeting minutes and notes to support team leads during internal and external stakeholder meetings.
- Project Support: Provide administrative support for special projects, task forces, and strategic initiatives as assigned.

Qualifications:
- Bachelor’s degree preferred; relevant experience may substitute.
- 2–4+ years of experience in nonprofit, association, academic, or healthcare settings.
- Experience in administrative support, program coordination, operations, or project management.
- Fiscal management and/or budget development experience with preferred knowledge of QuickBooks and excellent Excel skills
- Strong writing, editing, and communication skills.
- Ability to manage multiple tasks, meet deadlines, and support senior leadership.
- Familiarity with Customer Relationship Management (CRM) or Association Management (AMS) systems, project management tools, or membership databases a plus.
- Commitment to improving child health and supporting the pediatric GI community.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Co-Pilot, and SharePoint); experience with artificial intelligence is a plus.
- Excellent organizational, time management, and multitasking abilities.
- Strong written and verbal communication skills.
- Comfortable and poised in a demanding environment with shifting priorities.
Position Details:
Job Type: Full-time, permanent
Work Location: Fully remote position with occasional travel to the NASPGHAN national office in Spring House, PA, as needed.
Expected Hours: 40 hours per week.
