What You’ll Do – A Day in the Life:
You’ll join a fast-paced, supportive office team that keeps our mechanical operations moving—with a razor-sharp focus on keeping our elevator field technicians supplied and active. Your work will be hands-on, highly visible, and critical to minimizing building downtime for our clients. On any given day, your responsibilities will include:
1. Purchasing
· Receive and process technician requests for specialized components, including ropes, boards, fixtures, and safety switches.
· Draft precise Purchase Orders using accurate original equipment manufacturer (OEM) part numbers.
· Track critical parts and expedite urgent orders to minimize elevator downtime for clients.
2. Receiving
· Unload, open, and inspect incoming elevator parts for transit damage or manufacturer defects.
· Verify shipments against packing slips and cross-reference them with open Purchase Orders.
· Organize received items into designated bins for specific route mechanics or active job sites.
3. Accounts Payable Preparation
· Perform a strict three-way match by reconciling the Purchase Order, packing slip, and vendor invoice.
· Assign accurate general ledger codes and specific job or billing codes to all incoming invoices.
· Route verified, audit-ready invoice packets to the corporate accounting team for timely payment.
4. Parts & Inventory Control
· Manage stockroom inventory levels for high-turnover parts like relays, rollers, oils, and contacts.
· Execute routine cycle counts and physical audits to keep digital inventory systems accurate.
· Process core returns and coordinate manufacturer warranty claims for defective components.
5. Vendor Management
· Act as the primary point of contact for independent parts distributors and major elevator OEMs.
· Evaluate supplier reliability, freight speeds, and component pricing to optimize department spending.
· Maintain up-to-date vendor profiles, insurance certificates, and parts catalogs.
6. Job Costing & Documentation Control
· Allocate material costs directly to specific Maintenance, Repair, or Modernization job numbers.
· Organize technical documentation, certificates of compliance, and material safety data sheets.
· Generate material usage and spending reports for the Service Manager upon request.
7. Communication & Coordination
· Provide proactive updates to field supervisors and route mechanics regarding parts delays or substitutions.
· Collaborate with modernization planners to align parts deliveries with project start dates.
· Resolve billing discrepancies and parts disputes directly with vendors and internal accounting staff.
· Process vendor invoices for operating expenses and ensure they are properly coded for payment.
What We’re Looking For – Skills to Help You Succeed:
· A high school diploma or equivalent
· Some prior experience in parts coordination, warehouse logistics, or industrial accounts payable, preferably within elevator service, HVAC, electrical, or mechanical contracting
· Strong computer skills – Proficiency with field-service ERP software (Fieldboss and Business Central a plus), inventory management systems, and intermediate Microsoft Excel.
· A friendly, positive attitude and a professional demeanor
· Clear communication skills – both written and verbal
· Reliable, punctual, and ready to take ownership of your work
· Curiosity and a desire to learn – we’ll teach you the rest!
