Job Summary
At AMP Physical Therapy, we believe that movement is life, and our mission is to empower our patient community through expert care and compassionate recovery. We are looking for a dedicated Front Office Coordinator to serve as the operational heartbeat of our Piscataway clinic.
As the Coordinator, you are the first face and voice of our "AMP Patient Journey." Your focus will be on coordinating clinic workflows—ensuring our schedule is optimized, insurance authorizations are tracked with precision, and every patient receives a warm, family-like welcome. Key Responsibilities
1. Patient Experience & Care Coordination
- Serve as the welcoming face of AMP, greeting patients warmly and maintaining a positive, comfortable clinic atmosphere.
- Manage the multi-line phone system: answering inquiries, screening calls, and converting prospective leads into scheduled patients.
- Coordinate and optimize complex schedules for both Physical and Occupational Therapy, actively working to minimize scheduling gaps and maintain patient frequency.
- Act as the patient’s primary advocate when navigating billing, scheduling, or clinical workflow questions, escalating complex issues to the Clinic Owner when necessary.
2. NJ Authorization & Revenue Cycle Coordination
- Perform comprehensive insurance intake and verify coverage/benefits for all new patients.
- Navigate commercial New Jersey insurance portals (e.g., ASH, Optum, Orthonet) to submit, track, and secure timely therapy authorizations.
- Clearly and transparently explain insurance benefits, co-pays, and deductibles to patients before treatment begins.
- Collect patient payments (co-pays, co-insurance, and outstanding balances) at the time of service and accurately document transactions in the EMR.
- Collaborate daily with clinicians to reconcile schedules against submitted billing units to prevent insurance denials.
3. Clinic Workflow & Team Collaboration ("AMP Team Flow")
- Embrace our "AMP Team Flow" culture by maintaining a seamless, proactive rhythm where clinical and administrative workflows overlap to support colleagues during rushes.
- Coordinate the front-desk environment, helping train and organize student interns, volunteers, or per diem administrative staff on basic office tasks.
- Manage clinic document workflows: scanning, filing, and faxing clinical records (such as physician Plans of Care)
- Monitor front-office inventory and proactively coordinate clinical supply requests with the Clinic Owner.
4. Compliance & Administration
- Serve as a support champion for clinic compliance, ensuring all front-office administrative tasks are 100% HIPAA-compliant.
- Maintain the physical and electronic organization of patient intake records.
- Log monthly administrative checklists to support the clinic’s risk management policies.
Qualifications & Requirements
- Experience: Minimum 2–4 years of healthcare administrative or medical front office experience. Direct experience navigating outpatient Physical/Occupational Therapy billing, authorization portals (ASH, Optum, Orthonet), and EMR systems (specifically Systems 4PT or Comprise ) is highly desirable.
- Education: Associate’s or Bachelor’s degree in Healthcare Administration, Business, or a related field preferred (relevant experience will be considered in lieu of a degree).
Skills:
- Advanced understanding of insurance verification, medical terminology, and patient billing lifecycles.
- Strong proficiency with modern digital office platforms (Google Workspace, Microsoft Office, EMR systems) and a high comfort level with learning new digital tools or AI-driven administrative aids.
- Exceptional multitasking, organizational, and time-management skills in a fast-paced environment.

Physical Demands
- Prolonged periods of sitting at a desk and working on a computer or clinic tablet.
- Occasional standing, walking, and light lifting (up to 20 lbs) to coordinate clinic supplies and assist with patient flow in the gym.
