IT is a functional partner to the business — not a background function. The person in this role will work closely with leadership, consulting staff, and external partners, and will have meaningful visibility across the organization.
THE OPPORTUNITY
We are looking for a capable, organized, and curious IT professional to serve as the primary point of contact for all things technology at TBM. This is a broad coordination and administration role — you will own the day-to-day IT operation, keep users productive, manage our vendor and licensing ecosystem, and serve as the internal bridge to our managed services and development partners.
You will be supported by managed infrastructure and security partners who handle server operations and Tier 2 networking, and internal development resources who own the application and database layer. Your job is to run a clean, responsive IT function and know when and how to engage those partners effectively.
Beyond core IT, this role has a growing coordination component with our SaaS product team — monitoring sprint activity, supporting client interactions, and representing TBM’s interests across the product lifecycle. It is a role that rewards people who are self-directed, pick up new tools quickly, and communicate well with both technical and non-technical colleagues.
WHAT YOU WILL DO
Helpdesk & End-User Support
- Serve as the primary IT point of contact for all staff and consultants: hardware, software, connectivity, and account issues
- Manage and track all support tickets; coordinate resolution with internal and external partners and verify completion
- Provision and decommission user accounts and devices; manage hardware and software inventory
- Support remote and on-site users; maintain reliable access for all staff including international team members
- Triage and escalate specialized issues — networking, security, and infrastructure — to appropriate managed services partners
Microsoft 365 & Cloud Administration
- Administer the Microsoft 365 environment: Exchange, SharePoint, Teams, Azure Active Directory, and MFA
- Manage user provisioning, license assignments, and access controls across all M365 services
- Maintain SharePoint Online: site structure, permissions, document libraries, and content governance
- Administer AI and productivity platform licenses and organizational settings, including Claude.ai
- Coordinate software licensing renewals and true-up processes with Finance
- Administer VoIP/unified communications platform: user setup, basic troubleshooting, and configuration
Vendor & Contract Management
- Maintain a complete vendor and contract calendar: renewal dates, costs, contacts, and escalation paths
- Own all domain registrar accounts and DNS records; ensure all domains are current and protected
- Coordinate day-to-day with managed services partners: submit tickets, track status, and verify SLA compliance
- Manage software and SaaS licensing across the organization; track usage and flag renewal or cost issues to leadership
- Escalate material contract and vendor decisions to leadership with clear options and context
Infrastructure & Security Coordination
- Serve as the primary internal contact for our managed infrastructure provider; coordinate maintenance, patching approvals, and DR testing
- Review monthly security status reports from our managed security partner; escalate incidents to appropriate stakeholders
- Coordinate endpoint security: ensure all devices are enrolled and compliant; escalate threats per defined process
- Manage VPN provisioning and user access; support office connectivity planning including relocation logistics
- Maintain SSL certificate and security compliance calendar in coordination with managed services partners
SaaS Product Coordination
- Serve as TBM’s internal coordinator with the SaaS product development team
- Monitor sprint ticket queues; triage client-reported issues and route to the Dev Team as appropriate
- Track sprint release schedules; communicate status updates to clients, sales, and leadership
- Support sales and marketing with technical product context; assist with client onboarding coordination
- Act as a professional first point of escalation for Dploy client issues; represent TBM in client interactions
COTS Migration Project (Q3 2025 onward)
- Lead the evaluation and selection of a commercial off-the-shelf (COTS) replacement for a legacy internal application
- Coordinate stakeholder requirements gathering across Finance, Operations, and Consulting
- Manage vendor demos, scoring, and selection process in coordination with leadership
- Coordinate external development resources for data migration, integration, and testing
- Manage user communication, acceptance testing, and cut-over logistics
WHAT WE ARE LOOKING FOR
Experience & Background
- 3–5 years in a helpdesk, IT support, systems administration, or IT coordination role
- Experience supporting a professional services or consulting organization preferred
- Comfortable working in a distributed support model alongside managed services partners
- Track record of managing multiple workstreams simultaneously without losing detail
Technical Skills
- Microsoft 365 administration: Exchange (including hybrid environments), SharePoint, Teams, Azure AD, MFA, and licensing
- Networking fundamentals: TCP/IP, DNS, and DHCP — able to diagnose common issues and escalate effectively
- VPN administration and user-level troubleshooting
- Endpoint security awareness: understands EDR concepts, SSL/TLS certificates, and patch management workflows
- Comfortable reading basic network diagrams and firewall rules at a conceptual level
- VoIP platform administration (Microsoft Teams Phone, GoTo Connect, or similar)
AI & Emerging Technology
- Hands-on experience with AI productivity tools (Microsoft Copilot, Claude, ChatGPT, or similar) in a professional context
- Comfortable evaluating and administering new SaaS platforms with minimal ramp-up time
- Interest in practical business applications of AI and emerging technology
- Basic data literacy: able to understand and communicate about reports, dashboards, and data outputs
Communication & Coordination
- Clear communicator with both technical colleagues and non-technical consulting professionals
- Confident in client-facing and vendor interactions; able to represent the organization professionally
- Self-directed: identifies issues proactively, brings options, and follows through without close oversight
- Quick learner: picks up new systems, tools, and concepts rapidly and applies them independently
WHAT SUCCESS LOOKS LIKE
In your first 90 days:
- Staff across the organization know who you are and trust that IT issues get resolved reliably
- All vendor contracts, domain renewals, and licensing deadlines are tracked in a single organized calendar
- Microsoft 365 and SharePoint are running cleanly with no backlog
- Managed services partners are operating on clear escalation paths with no dropped tickets
- You have connected with the Dploy Dev Team and begun building a working relationship
By six months:
- COTS evaluation for the legacy application is underway with a selected platform and project plan
- Office connectivity transition is planned and ready to execute
- You are the recognized IT go-to across TBM — a trusted coordinator, not just a ticket router
- Managed services partners consistently meet SLAs; you are actively managing those relationships

Pay: $75,204.77 - $90,569.19 per year
