Raegan Ford Design is a rapidly growing, full-service national interior design firm dedicated to design excellence in high-end residential and sorority homes. We are seeking a highly detail-oriented
During peak purchasing seasons, we manage hundreds of purchase orders monthly across projects nationwide. This role is critical to ensuring accuracy, and strong financial oversight of product orders, invoices, and logistics. This is a data-driven, Excel-heavy role that requires strong analytical skills and attention to detail. In this role, you will manage product orders, track product status, coordinate logistics, and ensure timely delivery and installation. The ability to multitask, maintain accuracy under pressure, and communicate clearly is essential to success in this role.
This Role IS:

- Primarily office-based with consistent computer work
What Your Day Will Look Like:
- Managing and updating large Excel-based order trackers across multiple projects
- Reviewing invoices, identifying discrepancies, and ensuring financial accuracy
- Coordinating with vendors on pricing, lead times, and order status
- Analyzing shipping options and making cost-effective logistics decisions
RESPONSIBILITIES
Purchasing
- Create, manage, and track purchase orders.
- Input orders, update status, and manage project orders in Excel and Design Spec software using our project management process.
- Maintain records of all transactions, purchase orders, receipts, and payments.
- Acquire pricing, availability, and product information from vendors
- Manage vendor accounts and maintain vendor relationships.
- Work with vendors to coordinate product repairs and replacements on time.
- Generate project reporting for monthly profit projections and project reconciliation.
- Proactively communicate status updates with management, the design team, and vendors.
- Ensure all charges are accurately billed to the client.
- Audit and match invoices.
Logistics
- Coordinate shipping and receiving quotes, delivery and installations schedules
- Research, select, and coordinate project installation resources.
- Work with design team and clients to coordinate a smooth and on-time project installation.
- Occasional light lifting of items up to 50 lbs. (fabric rolls, accessories, artwork, etc..) may be required.
- Attend installations as needed, both local and national.
QUALIFICATIONS
- 2+ years of purchasing or procurement experience in one of the following industries: Interior design, furniture, retail merchandising, purchasing, construction or FF&E procurement
- Highly organized, detail oriented, accurate, and neat in all aspects of the job.
- Works well under pressure; able to multitask, prioritize, and consistently meet deadlines in a fast-paced environment.
- Advanced proficiency in Excel is required (daily use for order tracking, financial reporting, and data analysis)
- Comfortable working with large datasets, formulas, and reconciliation
- Experience auditing invoices and identifying discrepancies
- Comfortable working independently to resolve problems and advocate for the client.
- Excellent communication skills with a strong command of the English language, both written and spoken.
- Able to travel for local purchases when needed. Vehicle and valid driver’s license.
