Job Summary:
We are looking for an experienced full-time bookkeeper to join a U.S.-based tax advisory and bookkeeping firm serving multiple business clients.
This is a long-term, full-time contractor position through Upwork. We are looking for an individual who can work with us full-time and exclusively during business hours. This position is for a highly skilled and detail-oriented Full-Time Bookkeeper with extensive experience in U.S. tax advisory services. This energetic professional will play a vital role in managing accurate financial records, ensuring compliance with GAAP (Generally Accepted Accounting Principles), and supporting our firm's clients. The ideal candidate will thrive in a fast-paced environment, demonstrating expertise in various accounting systems and software. Your proactive approach to bookkeeping will help streamline our financial processes, facilitate precise reporting, and contribute to the overall success of our advisory team as well as clients.
The ideal candidate must have at least 5 years of bookkeeping experience with U.S.-based clients and should be highly experienced in monthly bookkeeping, cleanup projects, client onboarding, accounting system setup, payroll coordination, and client communication.
You should be able to confidently manage more than 10 bookkeeping clients at a time with a couple of cleanups, handle client meetings without requiring the business owner to be involved in every conversation, and take ownership of the bookkeeping function as the company grows.
Responsibilities:
Manage monthly bookkeeping for multiple U.S.-based clients.
Handle bookkeeping cleanups for prior months or years.
Review, reconcile, and maintain accurate books in QuickBooks Online and Xero.
Set up bookkeeping workflows for new clients.
Onboard new bookkeeping clients, including requesting the correct documents, access, statements, payroll information, loan details, credit card information, prior-year reports, and other required files.
Perform bank reconciliations and account analysis to ensure consistency across all financial statements.
Process payroll accurately and efficiently while ensuring compliance with federal and state regulations.
Manage accounts payable and receivable, including invoice processing, payment scheduling, and collections.
Prepare financial reports, including profit & loss statements, balance sheets, and cash flow statements for internal review and client reporting.
Contribute to budgeting processes by providing detailed account analysis and supporting documentation for financial planning efforts.
Manage bank, credit card, loan, payroll, and balance sheet reconciliations.
Review P&L, balance sheet, general ledger, and transaction details for accuracy.
Identify bookkeeping errors, missing information, uncategorized transactions, and cleanup issues.
Work with Gusto payroll and coordinate payroll-related bookkeeping entries.
Communicate directly with clients through meetings, email, and internal systems.
Create, improve, and follow bookkeeping SOPs.
Support bookkeeping needs for tax advisory and tax preparation work.
Work with service businesses, real estate clients, e-commerce businesses, contractors, nonprofits, and other small to medium business clients.
Coordinate with the internal team and help build scalable bookkeeping systems as the firm grows.
Required Experience:
Minimum 5 years of bookkeeping experience with U.S.-based clients.
Prior experience working with U.S. tax advisory firms, CPA firms, EA firms, or bookkeeping firms.
Strong experience with QuickBooks Online.
Experience with Xero.
Experience with Gusto payroll processing, accounts payable/receivable management, and governmental accounting practices.
Familiarity with U.S. taxes and how bookkeeping supports tax advisory and tax preparation work.
Extensive experience with bookkeeping cleanups.
Strong understanding of chart of accounts, reconciliations, financial statements, payroll entries, loans, owner draws, reimbursements, and month-end close.
Ability to manage more than 10 recurring clients at a time with a few cleanups
Ability to lead client meetings professionally and confidently.
Exceptional communication skills to collaborate effectively within a team environment focused on delivering high-quality client service.
Excellent knowledge of technical accounting procedures related to tax compliance and non-profit or corporate accounting as applicable.
Ability to work independently without constant supervision.
Ability to create and improve SOPs.
Comfortable using accounting, project management, communication, and other relevant tools.
Strong written and spoken English communication skills.
Must be available full-time from 9:00 AM to 6:00 PM CST.
