We are a developing interventional psychiatry practice dedicated to helping patients who need advanced mental health care. Our clinic specializes in cutting-edge treatments like Transcranial Magnetic Stimulation (TMS), esketamine (Spravato), and ketamine therapy. We focus on providing hope and healing to individuals struggling with treatment-resistant depression, anxiety, and other complex conditions.
Position Overview
As our Mental Health Intake Coordinator, you will be the very first point of contact for individuals seeking our life-changing services. We are looking for a compassionate, organized, and proactive professional to guide patients smoothly from their initial inquiry to their first appointment. Your warmth, empathy, and clear communication will set the stage for their healing journey.
Key Responsibilities
- First Contact: Respond warmly to all incoming phone calls, web forms, and doctor referrals from patients seeking care.
- Patient Screening: Conduct initial clinical screenings over the phone to understand the patient's needs and see if they qualify for our specialized interventional treatments.
- Insurance Navigation: Verify mental health insurance benefits and explain out-of-pocket costs or prior authorization processes clearly to families.
- Scheduling: Coordinate and book initial consultations for patients with our psychiatrists and nurse practitioners.
- Care Coordination: Collect previous medical and psychiatric records to ensure our clinical team has everything they need before the first visit.
- Data Management: Keep our Electronic Health Record (EHR) system organized and up to date with precise accuracy.
- Facilitate Prior Authorizations: Work with team to submit information to insurance companies that will facilitate treatment.
Qualifications & Skills
- Experience: At least 1–2 years of experience in a medical or mental health office setting (psychiatry, psychology, or behavioral health experience is a huge plus).
- Education: High school diploma required; an Associate’s or Bachelor’s degree in Psychology, Social Work, or a related field is preferred.
- Superb Communication: A warm, empathetic phone presence with the ability to handle sensitive, emotional conversations with utmost discretion.
- Tech Savvy: Comfortable using Electronic Health Record (EHR) systems, medical scheduling software, and standard office tools.
- Insurance Knowledge: Basic understanding of health insurance terminology, copays, deductibles, and the mental health pre-authorization process.
- Localization Note: Reliable transportation or familiarity with the local SEPTA lines for daily commuting to our suburban Jenkintown office. Ample free parking in cool environment.
