Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our office, handling a variety of administrative tasks. This role requires excellent organizational skills, experience in union payroll processing, A/P & A/R preferably in the heavy construction industry.
Duties
- Manage front desk operations
- Process union payroll in Quick Books and and job costing software
- Set up jobs and enter job costing in the system
- Assist with calendar management, scheduling appointments, and coordinating meetings
- Organize accounts payable & receivable
- Manage subcontractor prequalification
- Prepare lien waivers
- Create pay apps and prepare monthly billing
- Collaborate with management providing job files, submittals and documents
- Assist in various clerical duties as assigned by management
Skills
- Proficient in Quick Books, Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
- Strong computer literacy with experience in union payroll processing and benefits
- Excellent organizational skills with the ability to manage multiple tasks
- Familiarity with bookkeeping principles
- Accounting experience preferred
- Ability to manage time effectively while prioritizing tasks
- Previous administrative experience preferably in the construction industry
