Property Management Assistant
The Property Management Assistant provides administrative and operational support to the Property Manager and management team. This role helps ensure the efficient day-to-day operation of residential, commercial, or mixed-use properties by assisting with tenant relations, lease administration, maintenance coordination, and office management tasks.

Assist with the daily operations of managed properties.

Respond to tenant inquiries, concerns, and service requests in a professional and timely manner.

Coordinate maintenance requests and communicate with vendors, contractors, and tenants regarding work orders.

Maintain accurate tenant files, lease agreements, and property records.

Assist with lease renewals, move-ins, move-outs, and property inspections.

Prepare correspondence, notices, reports, and other property management documents.

Track rent payments and assist with collections by following up on delinquent accounts.

Process invoices and maintain vendor contracts and insurance records.

Schedule appointments, inspections, and meetings as needed.

Support marketing efforts by updating property listings and coordinating tours for prospective tenants.

Ensure compliance with company policies, fair housing regulations, and local property management requirements.

Perform general administrative duties, including answering phones, filing, data entry, and managing office supplies.

High school diploma or equivalent required; Associate's or Bachelor's degree preferred.

1-3 years of administrative, customer service, or property management experience preferred.

Strong organizational and multitasking skills.

Excellent verbal and written communication skills.

Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and property management software.

Ability to maintain confidentiality and handle sensitive information professionally.

Strong attention to detail and problem-solving abilities.

Customer-focused attitude and ability to build positive relationships with tenants and vendors.

Experience with property management platforms such as Yardi, AppFolio, Buildium, or similar systems.

Knowledge of landlord-tenant laws and fair housing regulations.

Experience coordinating maintenance vendors and service providers.

Bilingual abilities are a plus.
