Overview
We are seeking a highly organized and proactive Office Manager to oversee daily office operations. This role ensures a productive, efficient workplace while supporting staff and leadership across administrative, operational, and accounting functions.
Key Responsibilities
Office Operations & Administration
- Manage day-to-day office operations to ensure smooth and efficient functioning
- Supervise, train, and support office staff; delegate tasks and monitor performance
- Maintain office policies, procedures, and filing systems
- Coordinate calendars, meetings, appointments, and company events
- Serve as the primary point of contact for administrative needs and correspondence
- Oversee office supplies, and inventory
- Ensure a clean, organized, and safe work environment
- Prepare documentation for employee onboarding and terminations
- Report on office performance and recommend process improvements
Accounting & Financial Support
- Process and oversee bi-weekly payroll
- Administer employee benefits
- Manage accounts receivable/payable, including invoices and EFT processing
- Perform general ledger tasks, including journal entries and account reconciliations
- Handle cash management activities (fund tracking, reporting, and requirements)
- Assist with tax filings, permits, and compliance-related reporting
HR & General Support
- Support HR functions, including onboarding, offboarding, and employee records management
- Provide administrative support to leadership and staff
- Assist with basic bookkeeping, invoicing, and expense tracking (as needed)
Qualifications
- High school diploma required; college-level accounting coursework preferred
- Prior experience in office administration and accounting
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong organizational, multitasking, and time management skills
- Excellent communication and interpersonal abilities
- High attention to detail and problem-solving skills
- Ability to work independently and take initiative
- Basic computer troubleshooting skills
- Willingness to travel occasionally for training
Preferred Qualifications
- Experience with accounting or bookkeeping software (e.g., QuickBooks, PDI)
- Payroll and/or HR experience
- Associate’s or Bachelor’s degree in Business Administration or a related field
Pay: $50,000.00 - $70,000.00 per year
