Job Summary:
We are seeking a highly organized and detail-oriented professional to join our team as an Executive Assistant / Accounting Coordinator. This individual will play a key role in supporting the CEO and managing day-to-day, including creating invoices, processing purchase orders, maintaining product quotes and pricing, and ensuring accuracy in accounting records. The ideal candidate is proactive, quick to learn, and thrives in a fast-paced environment. A strong understanding of QuickBooks, accounting principles, and the relationship between invoices and purchase orders is essential for success in this role.
Key Responsibilities:
Accounting & Financial Operations
- Create, process, and manage invoices and purchase orders, ensuring accuracy and timeliness.
- Understand and manage the impact of invoices versus purchase orders on financial reporting and cash flow.
- Oversee accounts payable and accounts receivable to ensure timely payments and collections.
- Maintain accurate and up-to-date quotes, pricing lists, and cost records for products and services.
- Collaborate with internal departments to streamline and improve accounting processes and workflows.
- Serve as the official assistant to the CEO, managing calendars, communications, and day-to-day administrative needs.
Qualifications:
- Proven experience with QuickBooks and general accounting practices.
- Strong understanding of invoicing, purchase orders, and their financial implications.
- Excellent organizational and multitasking skills with a high attention to detail.
- Strong communication and interpersonal skills.
- Ability to adapt quickly and perform effectively in a fast-paced, dynamic environment.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) or Google Workspace.
Job Type: Full-time
Pay: $22.00 - $24.00 per hour
