JOB DESCRIPTION: EXECUTIVE ASSISTANT
DEPARTMENT: Executive
CLASSIFICATION: Exempt
REPORTS TO: President/CEO
SUPERVISES: No supervisory responsibility
SUMMARY: Performs office management, administrative support, accounting and purchasing support for Executive area; Board Secretary.
MAJOR DUTIESRESPONSIBILITIES:

Manages the Administrative offices of the Bank, including the President/CEO, Senior Executive Vice President/CFO and Senior Executive Vice President/COO.

Displays considerable judgment, initiative, decision-making, effective public relations, confidentiality and organizational abilities.

Acts as Secretary to the Board of Directors, prepares Board Meeting materials, maintains files, records minutes and provides communication to all Board members.

Maintains Outlook calendars and coordinates participation for President/CEO, SEVP/COO and SEVP/CFO.
- Provides telephone support, screens visitors, and schedules meetings and appointments.
- Processes mail in accordance with established procedures.

Assists with event planning, both Bank-and community-wide.

Prepares general correspondences, memos, charts, tables, graphs, business plans, meeting minutes, etc.
- Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Coordinates and completes special projects as requested. Obtains information to complete reports on sensitive or special management communications.
- Coordinates travel arrangements, conference registrations, etc., and prepares expense reports.

Completes mandatory compliance training on schedule.
EDUCATIONEXPERIENCE:
- Associate Degree in Administrative Professional, or equivalent experience.

Minimum of 5 years progressively responsible Office Management or Executive Assistant experience.
KNOWLEDGE, SKILLS, AND ABILITIES:

Extensive knowledge of modern office practices and procedures, and experience in the effective use of microcomputers, software packages such as Microsoft Office, fax machines and scanning equipment.

Excellent attention to detail, and ability to work with highly confidential information, assemble and organize data and prepare reports.

Ability to work independently, utilize effective time-management practices and make decisions with minimum direction.

Excellent organizational skills with an ability to think proactively and prioritize work.

Exceptional written and oral communication skills and the ability to deal tactfully and courteously with peers and the public.
