Leasing & Sales Receptionist – Executive Suites
Shift: Afternoon, Monday–Friday, approximately 1:00 PM–5:00 PM
Location: Fresno, CA

We’re looking for a friendly, highly organized, and sales-driven Leasing & Sales Receptionist to manage the front desk while actively helping us grow occupancy and close new business.
This is more than a traditional receptionist position. The right person should be comfortable talking with prospective tenants, conducting office tours, following up with leads, explaining our services, overcoming objections, and asking for the business.
Our goal is to maintain strong occupancy across our private executive offices while continuing to grow our virtual office memberships.
Responsibilities Leasing & Sales
- Respond promptly to new office and virtual office inquiries by phone, email, website, and walk-in.
- Qualify prospective tenants and determine which office or virtual office option best fits their needs.
- Schedule and conduct professional tours of available executive suites.
- Explain pricing, amenities, services, and membership options to prospective tenants.
- Consistently follow up with leads after inquiries and tours.
- Track prospects, tours, follow-ups, and leasing opportunities in our CRM.
- Ask for the business and work to convert qualified prospects into tenants.
- Help increase occupancy of available private offices.
- Promote and sell virtual office memberships.
- Identify opportunities to upgrade or provide additional services to existing tenants.
- Help prepare suites so vacant offices are clean, professional, and ready to show.
Front Desk & Phones
- Greet tenants, visitors, and prospective clients professionally.
- Answer incoming calls and emails and route messages appropriately.
- Maintain a welcoming and professional reception and lobby area.
- Serve as the first point of contact for tenants, guests, callers, and leasing prospects.
Tenant Services
- Assist with new-tenant onboarding.
- Coordinate badges, keys, Wi-Fi access, and conference room access.
- Respond to tenant questions and service requests.
- Maintain positive relationships with existing tenants and help provide a high-quality tenant experience.
Virtual Offices
- Manage mail and package intake.
- Notify virtual office clients of received mail and packages.
- Coordinate mail forwarding when requested.
- Maintain call-answering instructions and client information.
- Assist prospective clients with understanding and selecting virtual office services.
Scheduling & Facilities
- Schedule conference rooms and shared spaces.
- Submit and track maintenance requests.
- Communicate property issues to management.
- Coordinate with vendors when needed.
- Help ensure common areas and vacant suites remain presentable.
Payments & Documentation
- Accept checks and issue receipts when needed.
- Assist with applications, agreements, NDAs, licenses, and related leasing documentation.
- Maintain accurate tenant and prospect records.
Office Operations
- Complete opening and closing procedures.
- Monitor and replenish office supplies.
- Keep reception and common areas organized.
- Update contact lists, suite directories, incident logs, and visitor records.
Qualifications
- 1+ year of experience in property management, leasing, sales, customer service, hospitality, or office administration preferred.
- Property management, apartment leasing, commercial leasing, executive suites, coworking, or membership sales experience is strongly preferred.
- Previous experience selling, leasing, or closing new business is a major plus.
- Confident speaking with prospective customers by phone and in person.
- Strong follow-up skills and ability to keep track of multiple leads.
- Clear, friendly, and professional communication.
- Polished in-person and phone presence.
- Able to manage walk-ins, phones, emails, tenant requests, and sales leads simultaneously.
- Highly organized with strong attention to detail.
- Proficient with Google Workspace, Microsoft Office, or similar software.
- Reliable, punctual, self-motivated, and trustworthy with sensitive information.
Bonus Qualifications
- Bilingual Spanish/English.
- Property management experience.
- Leasing or real estate experience.
- Experience working in an executive suite or coworking environment.
- CRM experience.
- Prior sales or business-development experience.

Physical Requirements
- Occasionally move or lift packages weighing up to 25 lbs.
- Stand or sit at reception for portions of the shift.
- Walk throughout the building as needed for tours, tenant assistance, and property checks.
