Victory Landscapes is a growing landscaping and plant health company serving East Dallas, the Park Cities, Preston Hollow, and surrounding Dallas neighborhoods. We specialize in lawn treatments, plant health care, irrigation services, pest control, drainage solutions, and landscape enhancements for residential and commercial clients who value quality service, clear communication, and attention to detail.
This position is based in the Lakewood neighborhood of East Dallas and serves as the communication hub between our clients, office, and field teams. The ideal candidate is highly organized, professional, comfortable multitasking, and enjoys working in a fast-paced environment where no two days are exactly alike.
As our Office & Operations Coordinator, you will play a key role in helping our team stay organized, our customers stay informed, and our operations run smoothly each day.
Scheduling & Operations
- Manage future scheduling for field crews and adjust schedules throughout the day as needed.
- Closely monitor team communication software, customer requests, and operational updates throughout the workday to ensure schedules remain accurate and efficient.
- Coordinate schedule changes between clients and field staff while proactively communicating updates to all parties.
- Assist with route planning and daily operational logistics.
- Monitor completed work and service notes to help ensure accurate billing and timely invoicing.
- Serve as a communication hub between the office and field teams to keep operations running smoothly and efficiently.
Customer Communication
- Answer incoming phone calls and screen potential jobs.
- Respond to customer questions regarding scheduling, billing, and services.
- Follow up with clients after services to ensure satisfaction.
- Request and gather online reviews from satisfied customers.
- Develop a working knowledge of Victory Landscapes’ service offerings and pricing structures in order to identify opportunities to recommend additional services that may benefit existing clients.
- Educate clients on available programs and services, helping connect them with solutions that improve the health, appearance, and functionality of their property.
Administrative Support
- Assist with billing-related communication and payment follow-up.
- Maintain accurate customer records and notes.
- Support office operations and organization.
- Streamline quoting process and turnover time.
- Use photos and videos provided by field staff to create and schedule posts across social media platforms.
- Assist with content creation and customer success stories.
- Monitor and communicate with engagement and support ongoing marketing efforts.
- Occasionally visit job sites to capture photos and videos for marketing purposes.
Team Support
- Occasionally run errands or deliver materials to support field employees.
- Assist with administrative and operational tasks as needed.
Qualifications
- Excellent communication and customer service skills.
- Strong organizational and multitasking abilities.
- Comfortable answering phones and interacting with clients.
- Proficient with Microsoft Office and mobile applications.
- Familiarity with social media platforms such as Facebook, Instagram, Nextdoor, and Google Business Profile is preferred.
- Valid driver’s license and reliable transportation.
- Ability to work independently, stay organized, and solve problems proactively.
- Ability to manage multiple priorities and maintain attention to detail in a fast-paced environment.
Preferred Qualifications
- Experience in customer service, office administration, scheduling, or operations coordination.
- Experience creating or scheduling social media content.
- Experience in landscaping, home services, construction, or a service-based business is a plus.

Pay: $24.00 - $26.00 per hour
