Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. This role is essential in ensuring the smooth operation of daily activities and will involve a variety of tasks including project coordination, office management, and event planning. The ideal candidate will possess strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Duties
- Manage and maintain executives' schedules, including Outlook Calendar coordination and appointment scheduling.
- Assist with project coordination by tracking deadlines, organizing files, and ensuring all necessary documentation is prepared.
- Serve as the first point of contact at the front desk, greeting visitors and managing incoming communications.
- Perform data entry tasks accurately and efficiently to maintain up-to-date records.
- Organize company events and meetings, handling logistics such as venue selection, catering arrangements, and attendee communication.
- Maintain office supplies inventory and place orders as needed to ensure a well-functioning workplace.
- Prepare reports, presentations, and other documents using Google Suite applications.
- Collaborate with team members on various administrative tasks to enhance overall office efficiency.
Requirements
- Proven experience as an Executive Assistant or in other administrative roles.
- Proficiency in Google Suite (Docs, Sheets, Slides) and Microsoft Office applications (especially Outlook Calendar).
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent verbal and written communication skills.
- Attention to detail with strong problem-solving abilities.
- Experience in event planning is preferred but not mandatory.
- Ability to work independently as well as part of a team in a dynamic environment.
- Familiarity with basic office equipment and procedures.
