Job Summary
Commonwealth Commercial Appraisal Group is seeking a highly organized and proactive Executive Operations Assistant to support a real estate executive at a growing commercial real estate valuation and advisory firm.
This person will help manage the executive’s inbox, calendar, priorities, follow-ups, meetings, and day-to-day workflow. The goal is simple: reduce distractions, keep important items moving, and make sure nothing falls through the cracks.
This is not a traditional administrative role. The right person will become a trusted extension of the executive, helping turn emails, conversations, ideas, and meetings into clear next steps.
The position will begin at approximately 20 hours per week, with the opportunity to grow into a full-time executive operations role.
Responsibilities
- Manage and organize the executive’s inbox
- Draft professional emails and follow-up messages
- Identify what needs attention, delegation, follow-up, or archiving
- Prepare a concise daily inbox and priority summary
- Manage the executive calendar and coordinate meetings
- Protect time for deep work, business development, appraisal review, and strategic priorities
- Prepare meeting notes, background information, and action items
- Track tasks, deadlines, delegated items, and waiting-on items
- Follow up with team members and outside contacts when needed
- Maintain CRM records and save contact information from emails and meetings
- Support client, prospect, referral source, and event follow-up
- Track appraisal inquiries, proposals, and pending opportunities
- Help coordinate internal priorities across project management, appraisers, marketing, and firm leadership
- Maintain simple dashboards, task lists, SOPs, and workflows in Notion or similar systems
- Identify recurring tasks that should be delegated, automated, or standardized
- Help the executive plan weekly priorities and stay focused on the highest-value work
Qualifications
- Experience in executive support, operations, project coordination, or a similar role
- Strong organization and follow-through
- Excellent written communication skills
- Good judgment and the ability to prioritize
- Confidence working independently in a remote environment
- Discretion when handling confidential information
- Proficiency with Microsoft Office, Outlook, Teams, and related business tools
- Experience with Notion, CRM systems, project-management platforms, or AI productivity tools is a plus
- Interest in commercial real estate, valuation, professional services, or business operations is helpful

Compensation and Benefits
- $30.00 per hour
- Approximately 20 hours per week
- Flexible remote schedule with consistent availability during Eastern Time business hours
- Annual performance bonus opportunity
- Eligibility for the company’s 401(k) employer match after one year of employment, subject to the terms of the plan
- Opportunity to increase hours and grow into a full-time role
- Paid time off is not initially included for this part-time position
