JAX is seeking a highly organized and detail-oriented Fiscal and Procurement Coordinator to join our administrative team.
This position provides financial and administrative support to the Chief Financial Officer and plays an important role in the District's financial operations, grant administration, procurement activities, and regulatory compliance. The successful candidate will enjoy a variety of responsibilities and have the opportunity to make a meaningful impact in public transportation serving the communities of Southern Illinois.

Primary Responsibilities
- Process customer invoicing and maintain accounts receivable records.
- Assist with grant reimbursement requests for FTA, IDOT, Medicaid, and other funding sources.
- Maintain financial records, grant files, procurement files, and contract documentation.
- Assist with monthly financial reconciliations and grant tracking.
- Coordinate procurement activities, prepare bid documents, maintain vendor records, and assist with purchasing compliance.
- Track contracts, renewals, insurance certificates, and procurement documentation.
- Prepare reports and supporting documentation for audits, Finance Committee meetings, and Board meetings.
- Maintain accurate electronic and paper filing systems.
- Assist with implementation of financial policies and internal controls.
- Perform general administrative and fiscal support duties as assigned.
Qualifications
Required
- High school diploma or GED.
- Strong organizational and computer skills.
- Proficiency with Microsoft Excel, Word, and Outlook.
- Excellent attention to detail and ability to maintain accurate records.
- Ability to maintain confidentiality and manage multiple priorities.
Preferred
- Associate degree in Accounting, Finance, Business Administration, or a related field.
- Two years of experience in accounting, bookkeeping, finance, purchasing, grants administration, or administrative support.
- Experience with governmental accounting, procurement, or grant-funded programs.
- Experience using accounting software.
