Part-Time Paralegal – Estate Planning, Probate & Civil Litigation

About the Position
A solo law practice in Green Cove Springs, Florida is seeking an experienced, highly organized, and exceptionally detail-oriented part-time paralegal to join the practice. The ideal candidate will have strong experience in estate planning, probate, and civil litigation and will be comfortable working independently while collaborating closely with the attorney.
This is an in-person position and is an excellent opportunity for an experienced paralegal who enjoys working in a small-firm environment, takes pride in producing accurate and polished work product, and understands the importance of careful attention to detail in the legal profession.
Because this is a solo practice, the successful candidate will have the opportunity to assist with a wide range of legal and administrative responsibilities and will play an important role in keeping the practice organized and operating efficiently.
Primary Responsibilities
Estate Planning
- Assist with preparation and organization of estate planning documents, including wills, trusts, powers of attorney, health care directives, deeds, and related documents.
- Prepare drafts, correspondence, client questionnaires, checklists, and other legal documents.
- Coordinate client meetings, document execution, and follow-up.
- Review documents carefully for accuracy, consistency, grammatical errors, and typographical errors.
- Assist with maintaining organized and accurate estate planning files.
- Communicate with clients regarding scheduling, document collection, and other administrative matters as directed by the attorney.
Probate
- Assist with preparation and filing of probate pleadings and related documents.
- Prepare and organize inventories, accountings, creditor information, beneficiary information, and other probate documentation.
- Assist with gathering and organizing information regarding estate assets and liabilities.
- Communicate with clients, beneficiaries, personal representatives, financial institutions, and other involved parties as directed by the attorney.
- Monitor deadlines and assist with maintaining accurate probate case calendars.
- Assist with preparation for hearings and other court proceedings.
- Maintain organized probate files and ensure necessary documents and information are readily accessible.
Civil Litigation
- Assist with drafting and preparing pleadings, discovery, notices, correspondence, motions, and other litigation documents.
- Assist with discovery management, including organizing documents and preparing discovery responses.
- Prepare exhibits, deposition materials, hearing binders, trial materials, and other case materials.
- Maintain litigation calendars and monitor deadlines.
- Assist with electronic filing and service of documents.
- Assist with organizing and reviewing documents produced during discovery.
- Assist the attorney with preparation for depositions, hearings, mediations, and trials.
- Communicate professionally with clients, opposing counsel, courts, and other parties as directed.
Legal Research
- Conduct legal and factual research at the direction of the attorney.
- Assist with researching Florida statutes, administrative rules, procedural rules, and case law.
- Locate and organize relevant legal authorities for use in pleadings, motions, memoranda, and client matters.
- Assist the attorney with gathering background information and researching issues related to estate planning, probate, civil litigation, and other matters handled by the practice.
- Experience with Westlaw and/or LexisNexis is preferred.
Administrative & Office Responsibilities
Because this is a solo law practice, the paralegal will also assist with a variety of administrative and practice-management responsibilities, including:
- Managing and organizing electronic and paper case files.
- Maintaining accurate client and matter information.
- Assisting with scheduling client appointments, hearings, depositions, mediations, and other events.
- Maintaining calendars and monitoring important deadlines.
- Preparing and organizing correspondence and routine client communications.
- Assisting with client intake and gathering information and documents from prospective and existing clients.
- Following up with clients regarding outstanding documents, information, signatures, and other items needed to move matters forward.
- Assisting with document management and maintaining organized digital files.
- Scanning, copying, printing, uploading, and organizing documents as needed.
- Assisting with electronic filing and service of documents.
- Assisting with billing, timekeeping, invoicing, and other administrative tasks as needed.
- Assisting with general office organization and day-to-day administrative needs.
- Proofreading correspondence and legal documents before they are sent or filed.
- Performing data entry and maintaining accurate records.
- Handling confidential client information with discretion and professionalism.
Qualifications
Required
- Prior paralegal experience in a law firm setting.
- Demonstrated experience in estate planning, probate, and civil litigation.
- Exceptional attention to detail and a strong commitment to accuracy.
- Excellent grammar, spelling, proofreading, and document formatting skills.
- Strong legal drafting skills.
- Ability to identify grammatical, typographical, formatting, and substantive inconsistencies in documents.
- Strong written and verbal communication skills.
- Excellent organizational and time-management skills.
- Ability to manage multiple matters, priorities, and deadlines.
- Ability to work independently and take initiative.
- Professional demeanor and strong client-service skills.
- Proficiency with Microsoft Word and other standard office technology.

- Familiarity with Florida court filing and electronic filing procedures.
Preferred
- Experience working in a small or solo law firm.
- Experience with Westlaw and/or LexisNexis.
- Familiarity with Florida probate procedures.
- Familiarity with Florida civil litigation procedures.
- Experience with legal practice management or document management software.
- Experience with electronic court filing systems.
- Notary Public certification.
Pre-Employment Skills Assessment
Because accuracy, attention to detail, grammar, and strong legal drafting skills are essential to this position, selected applicants will be required to successfully complete a pre-employment skills assessment before being hired.
The assessment may include:
- Drafting or revising a legal document based on provided information.
- Identifying grammatical, spelling, formatting, and typographical errors.
- Proofreading a document for accuracy and consistency.
- Correcting errors in a legal document.

This position requires someone who takes pride in producing polished, professional, and error-free work product. You should be someone who naturally catches spelling errors, missing words, inconsistent dates, formatting issues, and other details that others may overlook.
The successful candidate should also be comfortable balancing legal and administrative responsibilities. In a solo practice, there will be times when the priority is drafting a pleading or preparing a probate filing and other times when the priority is scheduling a client, organizing a file, following up on missing documents, or helping with general office administration.
