Position Title: Apprenticeship Coordinator
GENERAL SUMMARY: The Apprenticeship Coordinator is responsible for the day-to-day administration of the C3 Program, with particular emphasis on maintaining required Department of Labor registered apprenticeship documentation, recruiting and onboarding new participants, managing apprentice records, marketing the program, and maintaining communication with participating school districts and other employer partners. This position is located in Park Hills, MO.
The coordinator works collaboratively with university departments, apprenticeship staff, school district representatives, mentors, and state and federal apprenticeship partners to ensure participant records are accurate, program requirements are completed, and CMU remains in compliance with its responsibilities as a registered apprenticeship sponsor.
PRIMARY DUTIES AND RESPONSIBILITIES:
· Process apprenticeship registrations, modifications, transfers, suspensions, cancellations, and completions.
· Monitor apprentices’ on-the-job learning hours, competency attainment, coursework, mentor evaluations, employment status, and other program requirements.
· Maintain complete, accurate, confidential, and audit-ready participant records across Department of Labor, institutional, and internal tracking systems. Support file reviews, monitoring visits, audits, and other activities necessary to maintain compliance with institutional, grant, and Department of Labor requirements.
· Recruit prospective participants through employer and community-college referrals, direct outreach, informational sessions, community events, digital communication, and other marketing efforts.
· Explain program eligibility, benefits, experiential-credit opportunities, employment expectations, mentorship requirements, and participant responsibilities to prospective apprentices.
· Respond to prospective-student inquiries, review initial eligibility, and maintain communication from initial interest through onboarding.
· Guide eligible participants through the apprenticeship application and onboarding process, including the submission of required employment and program documentation.
· Develop and distribute accurate recruitment materials in collaboration with Admissions, Marketing, and other university departments.
· Represent the C3 Program at recruitment events, employer meetings, conferences, and community-college events.
· Guide employers through partnership requirements, mentor selection, evaluations, wage progression, on-the-job learning, and required documentation.
· Identify apprentices who may be eligible for experiential credit and coordinate the collection, review, and tracking of required course, mentor, and evaluator documentation.
· Train and support CMU employees involved in recruiting, onboarding, tracking, or assisting apprentices.
· Develop and maintain procedures, templates, guides, presentations, and other resources supporting consistent program operations.
· Collaborate with university departments, consortium institutions, Department of Labor representatives, and Missouri apprenticeship partners.
· Participate in relevant meetings and training and travel to CMU locations, partner organizations, recruitment events, and program meetings as required.
· Perform other duties related as assigned.
EDUCATION AND EXPERIENCE QUALIFICATIONS: Bachelor’s Degree required; graduate degree preferred. Candidate should possess superior organization; communication and technology related skills.
PHYSICAL REQUIREMENTS: Periods of standing, routinely lifting more than 25 pounds, and frequent travel between CMU sites and partners is required/expected in this role.
OTHER INFORMATION AND ATTRIBUTES: This position requires occasional evening work, travel, and use of personal vehicle. MS Office Applications including MS Outlook and Excel; student management systems, learning management systems, electronic calendar; maintain confidentiality of student records. Candidate should be able to operate office equipment including printers, scanners, copiers, and faxes.
