Position Summary
- The Office Manager & Human Resources Generalist is responsible for ensuring the firm's day-to-day operations run efficiently while fostering an organized, productive, and positive work environment. This individual serves as the central coordinator of administrative operations, human resources, and firm workflow.
- Success in this role is measured by keeping work moving efficiently throughout the firm, helping employees remain productive and accountable, supporting partners and managers, and creating systems that allow our professionals to focus on serving clients.
- This position requires excellent organizational skills, discretion with confidential information, strong interpersonal skills, and the ability to proactively solve problems before they become obstacles.
Core Responsibilities
Workflow Management (Primary Focus)
- Monitor firm-wide workflow and project status through practice management software.
- Ensure tax, accounting, payroll, and consulting engagements continue moving according to deadlines.
- Follow up with staff and managers regarding overdue projects.
- Assist in balancing workloads among team members.
- Coordinate scheduling during tax season and other peak workload periods.
- Identify workflow bottlenecks and recommend process improvements.
- Maintain dashboards and reports for partners showing project status and capacity.
- Help ensure jobs are assigned promptly and completed on schedule.
- Coordinate due date tracking for recurring client work.
- Work with partners to improve workflow efficiency and resource allocation.
- Facilitate weekly workflow meetings with partners and managers.
- Facilitate engagement letter process
Human Resources
Recruiting
- Coordinate recruiting efforts.
- Schedule interviews.
- Communicate with candidates.
- Maintain applicant records.
- Coordinate college recruiting events.
- Assist with internship programs.
Onboarding
- Prepare new hire paperwork.
- Coordinate workstation setup.
- Order equipment and supplies.
- Schedule orientation.
- Maintain employee files.
- Ensure completion of required employment documentation.
Employee Relations
- Serve as first point of contact for employee questions.
- Assist employees with benefits questions.
- Maintain confidentiality regarding personnel matters.
- Coordinate employee recognition activities.
- Support annual performance review process.
- Assist with employee engagement initiatives.
Benefits Administration
- Coordinate health insurance enrollment.
- Manage retirement plan enrollments.
- Track paid time off.
- Maintain employee benefit records.
- Coordinate annual open enrollment.
HR Compliance
- Maintain personnel files.
- Assist with employment law compliance.
- Coordinate required labor postings.
- Update employee handbook as directed.
- Maintain HR policies and procedures.
Office Management
- Oversee daily office operations.
- Manage office supplies and vendor relationships.
- Maintain office organization and appearance.
- Supervise administrative staff (if applicable).
- Coordinate office events and staff meetings.
Administrative Support
- Assist partners with administrative projects.
- Prepare reports and presentations.
- Coordinate firm meetings.
- Maintain firm calendars.
- Organize internal communications.
- Assist with client correspondence as needed.
- Maintain firm records and documentation.
Technology & Process Improvement
- Help implement new office procedures.
- Assist with practice management software administration.
- Recommend workflow improvements.
- Coordinate software training.
- Document office procedures.
- Help maintain operational efficiency.
Qualifications
Education
- Associate's or Bachelor's degree in Business Administration, Human Resources, Management, or related field preferred.
Experience
- 3–5 years of office management or HR experience.
- Professional services or CPA firm experience preferred.
- Experience with workflow or project management systems is highly desirable.

Pay: $90,000.00 - $110,000.00 per year
