Job Summary
We are seeking an experienced, highly organized, and motivated Office Manager to lead the daily operations of our busy chiropractic clinic. The ideal candidate has prior experience managing a medical or chiropractic office, possesses strong leadership skills, and is knowledgeable in chiropractic billing, insurance verification, patient scheduling, and customer service.
The Office Manager plays a critical role in ensuring efficient clinic operations, supporting providers and staff, maximizing collections, maintaining compliance, and delivering an exceptional patient experience. This position requires someone who thrives in a fast-paced environment, can multitask effectively, and takes initiative to solve problems.
Responsibilities
- Manage the day-to-day operations of a busy chiropractic clinic.
- Supervise and support front office staff, providing training, coaching, and performance oversight.
- Oversee patient scheduling, appointment confirmations, cancellations, and daily workflow.
- Verify insurance benefits, obtain authorizations when necessary, and explain patient financial responsibilities.
- Process chiropractic billing, insurance claims, payment posting, and collections.
- Follow up on unpaid claims, insurance denials, appeals, and accounts receivable.
- Ensure accurate patient registration, documentation, and maintenance of electronic health records (EHR).
- Maintain compliance with HIPAA and other healthcare regulations.
- Manage office supplies, equipment, and vendor relationships.
- Prepare daily deposits, reconcile payments, and assist with financial reporting.
- Monitor key performance indicators including collections, scheduling efficiency, and patient retention.
- Address patient concerns professionally and ensure outstanding customer service.
- Coordinate communication between providers, staff, insurance companies, attorneys, and referring physicians when applicable.
- Develop and improve office procedures to increase efficiency and enhance the patient experience.
- Assist providers with administrative support and special projects as needed.
Qualifications
- Minimum of 3 years of office management experience, preferably in a chiropractic, medical, physical therapy, or healthcare setting.
- Experience with billing, insurance claims, payment posting, collections, and accounts receivable is required.
- Knowledge of Medicare, commercial insurance, personal injury (PIP), workers' compensation, and chiropractic coding is preferred.
- Experience verifying insurance benefits and obtaining prior authorizations.
- Proficiency with Electronic Health Records (EHR) and chiropractic practice management software.
- Strong computer skills, including Microsoft Office (Word, Excel, Outlook).
- Excellent organizational, communication, and problem-solving skills.
- Ability to prioritize multiple tasks in a fast-paced clinical environment.
- Strong leadership skills with experience supervising and motivating staff.

- High attention to detail and commitment to accuracy.
- Bilingual (English/Spanish) is strongly preferred.
