PURPOSE
The Area Service Manager- Mixed Use is a portfolio-based leadership role supporting Morguard across multiple asset classes. This role supports Residential Management, HOA Management, Commercial Management, commercial tenants, and site teams by executing the Company maintenance program, enhancing operational efficiencies, overseeing maintenance and capital projects, and driving accountability across a complex mixed-use portfolio while maintaining a portfolio-wide perspective. This role also serves as a key partner to The Square and Northgate's commercial and retail tenants, fostering strong tenant relationships and ensuring maintenance and operational activities support tenant business needs and overall asset performance.
DUTIES & RESPONSIBILITIES
Maintenance Program Management
- Develop, plan, organize, implement, and facilitate all aspects of maintenance throughout the assigned portfolio.
- Oversee and assist with capital project execution, DPI’s and budget preparation.
- Develop and monitor preventative maintenance schedules and inspections.
- Coordinate and assign work orders, make-readies, perform preventative maintenance, and other management responsibilities.
- Ensure maintenance work orders are entered and completed for Residential and Retail Tenants.
- Monitor maintenance performance metrics and identify opportunities for improved efficiency and service delivery.
- Partner with commercial and retail tenants to support unique operational requirements and ensure maintenance programs align with tenant business needs, landlord responsibilities and building performance objectives.
- Monitor and respond to complex maintenance issues affecting commercial tenant spaces, coordinating with tenants, vendors, and property management to achieve timely resolution.
Team Support & Training
- Train, coach, and guide the Maintenance Service Team.
- Assist with recruiting and building a proactive maintenance team.
- Assist in training and onboarding new technicians and developing all maintenance personnel within the assigned portfolio.
- Provide support and guidance to maintenance staff, fostering a positive team environment.
- Support workforce planning and create a culture of accountability and continuous improvement.
- Liaison between construction, operations and management.
Vendor Management & Project Coordination
- Lead the procurement process by developing scopes of work, locating qualified contractors, analyzing received bids, and recommending bid awards.
- Manage maintenance supplies inventory and place orders as necessary.
- Liaise with vendors and contractors to coordinate the execution of service agreements, ensure insurance requirements are met, and assist with vendor setup and processing where necessary.
- Maintain vendor contracts and manage vendor relationships.
- Evaluate vendor performance and support strategic sourcing initiatives.
- Coordinate with construction and operations to be a bridge of communication and resource during capital project execution.
Administrative & Reporting
- Provide general administrative support to the Maintenance department, including managing calendars, expense reports, and other duties as assigned.
- Review Make Ready and Inspection Reports and distribute them to relevant managers.
- Ensure all building licenses, certificates, and inspection programs are current, including scheduling and coordinating required repairs.
- Coordinate with operations personnel to ensure accurate financial reporting and adherence to budgetary constraints.
- Maintain accurate records of maintenance activities, including work orders, service contracts, and equipment/supply inventories.
- Be the lead for Commercial Café WO entry for commercial tenants when a validated request comes through.
Commercial Tenant Relations
- Develop and maintain strong working relationships with commercial and retail tenants throughout the property.
- Serve as a primary maintenance liaison for commercial tenants regarding building systems, maintenance activities, tenant improvements, and operational concerns.
- Conduct as-needed meetings and site walks along with ops with commercial tenants to identify service opportunities, address concerns, and improve overall tenant satisfaction.
- Collaborate with Property Management and commercial tenants to coordinate maintenance activities, utility interruptions, building testing, and capital projects while minimizing disruption to business operations. Notices should come from Ops.
- Support tenant improvement projects and coordinate maintenance and engineering requirements associated with commercial occupancy and operational needs.
- Partner with commercial tenants to proactively identify building system concerns, operational risks, and opportunities for continuous improvement.
Communication & Coordination
- Act as the primary point of contact for Residential and Retail Leaseholders to increase Resident Satisfaction.
- Follow up on work orders and move-in inspections and ensure communication regarding maintenance projects, alarm testing, utility shut-offs, etc.
- Conduct weekly work order review meetings with the General Manager.
- Assist the Director of Maintenance in disaster response and property management within the region and throughout the US portfolio.
- Communicate proactively with commercial and retail tenants regarding maintenance projects, utility shutdowns, life-safety testing, and operational activities that may impact tenant operations.
- Partner with Property Management to ensure timely resolution of commercial tenant maintenance concerns and service requests.
Compliance & Safety
- Ensure the region follows all company guidelines per safety, policies and procedures, procurement, and other company-wide policies.
- Monitor and assist with various portfolio-wide initiatives, including environmental incidents, asset tracking logs, code compliance, procurement assistance, vendor management, and other initiatives as assigned.
- Promote a safe working environment and ensure adherence to all applicable regulatory requirements.
QUALIFICATIONS
- Five (5+) years of project, property, facilities, or maintenance management experience, with a minimum of three (3) years of supervisory experience.
- Multifamily, mixed-use, or commercial facilities management experience is required.
- Experience supporting multiple sites or a regional portfolio is preferred.
- Familiarity with federal, state, and local Fair Housing laws.
- Moderate travel may be required.
- Strong mechanical knowledge in plumbing, electrical, HVAC, life-safety, and other construction trades is preferred.
- A college degree in construction management, business, engineering, facilities management, or a related field is preferred.
- Experience in Yardi Voyager and Entrata is preferred.
- Ability to influence and support site teams while maintaining a portfolio-wide perspective.

Pay: $120,000.00 - $125,000.00 per year
