Position Summary
The Office Engineer provides essential administrative, technical, and coordination support for construction and project management activities. This role is responsible for maintaining project records, supporting field staff and contractors with contract documentation, and ensuring effective communication through meeting coordination and documentation. The ideal candidate is highly organized, detail-oriented, and experienced in large-scale construction or project environments.
Key Responsibilities
Establish and maintain comprehensive job record files for assigned projects in accordance with established procedures
Organize and manage project documentation, including drawings, specifications, correspondence, and reports
Ensure all records are accurate, up-to-date, and readily accessible for project teams
Assist construction inspectors and contractor representatives in the interpretation and clarification of contract drawings specifications
Serve as a liaison between engineering, field staff, and contractors to ensure alignment on project requirements
Support resolution of technical and documentation-related issues
Prepare agendas for project progress review meetings
Attend meetings and prepare accurate and detailed meeting minutes
Distribute meeting materials and track action items to ensure timely follow-up
Support project managers with administrative and coordination tasks
Assist in tracking project progress, documentation, and compliance with contractual requirements
Contribute to maintaining efficient communication across project teams
Work Environment
Office-based with occasional interaction with field teams and construction sites
Collaboration with engineers, contractors, inspectors, and project managers

Qualifications
Bachelor’s Degree in Engineering or an engineering-related field
Minimum of five (5) years of experience in large-scale construction projects and project management programs
Strong understanding of construction documents, drawings, and specifications
Excellent organizational and document control skills
Ability to interpret technical information and communicate clearly
Strong written and verbal communication skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document management systems
Ability to manage multiple tasks and meet deadlines in a fast-paced environment
High attention to detail and accuracy
Preferred Qualifications
Experience in public infrastructure or transportation projects
Familiarity with project management or construction management software
Knowledge of contract administration processes
