We are seeking a warm, bilingual, and highly organized Part-Time Medical Assistant (with the possibility of full-time) to join the clinical team at the Wellness Institute of Neurodevelopment (WIN) at our Puerto Rico location in Guaynabo. WIN is a pediatric neurodevelopmental clinic delivering the proprietary Franceschi Method® to children and families. This vital role supports our clinicians in delivering exceptional patient care while ensuring every family feels welcomed, comfortable, and well-attended throughout their visit. The ideal candidate is fully bilingual in Spanish and English, deeply compassionate toward pediatric patients and their parents, and brings a proactive, detail-oriented approach to both clinical and administrative responsibilities. This position begins as part-time with the possibility of transitioning to full-time as the clinic continues to grow. Duties
- Greet patients, families, and visitors warmly in both Spanish and English, ensuring every family feels welcomed and supported throughout their visit
- Prepare patients for clinical sessions, including rooming, obtaining vital signs, and documenting chief complaints and history
- Assist clinicians during evaluations, therapy sessions, and procedures as directed
- Accurately document patient information, clinical notes, and vital signs in the electronic health records (EHR) system
- Support the administration of in-clinic services such as primitive reflex integration, listening therapy, and other Franceschi Method® modalities under clinician supervision
- Prepare treatment rooms and equipment before each session, ensuring cleanliness, organization, and proper sanitization between patients
- Manage inventory of clinical and medical supplies, restocking treatment rooms and notifying leadership when items need to be ordered
- Schedule, confirm, reschedule, and cancel appointments in coordination with the front desk and clinical team
- Support patient check-in, check-out, and intake form completion as needed
- Maintain accurate, confidential patient records in compliance with HIPAA and Puerto Rico privacy regulations
- Help coordinate family arrival logistics given limited on-site parking, including staggered scheduling support and clear communication with families
- Adhere to all infection control, safety, and clinical protocols
Qualifications
- Medical Assistant certification or equivalent clinical training required
- Full bilingual proficiency in Spanish and English (spoken and written) is required
- Proven experience as a Medical Assistant, preferably in a pediatric, therapy, or specialty clinic setting
- Proficiency in computer literacy including Google Workspace, Microsoft Office, and data entry
- Comfortable learning and operating an electronic health records (EHR) system; prior Charm Health experience is a plus
- Strong clinical fundamentals including vital signs, patient rooming, and documentation
- Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced clinical environment
- Excellent communication skills and professional bedside manner
- Warmth, empathy, and patience — particularly with children with neurodevelopmental needs and their families
- Demonstrated discretion in handling confidential patient and family information
- Knowledge of HIPAA and Puerto Rico patient privacy requirements
- Availability to work a flexible part-time schedule during clinic operating hours, Monday through Friday, with openness to transitioning to full-time
- CPR/BLS certification preferred (or willingness to obtain upon hire)
