We are seeking a motivated, creative, organized, and technology-driven Director Assistant to support the Director in daily school operations, admissions, marketing, academic administration, clinic management, and digital initiatives.
Position Summary
The Director Assistant is a key member of the administrative team and supports nearly every aspect of school operations. This position combines school administration, admissions, student services, marketing, graphic design, curriculum support, clinic coordination, human resources assistance, and technology.
This role is ideal for someone who enjoys working in education, learning new technologies, solving problems, and contributing to the growth of a dynamic healthcare institution.
Key Responsibilities1. Admissions & Student Services
- Respond to admissions inquiries by phone, email, text, website, and in person
- Schedule campus tours, interviews, and admissions appointments
- Guide prospective students through the enrollment process
- Prepare admissions documents and enrollment packets
- Maintain admissions databases and student records
- Provide excellent customer service to students, visitors, and prospective applicants
- Follow up with prospective students and assist with enrollment communications
2. Graphic Design & Digital Media
- Design brochures, flyers, posters, banners, certificates, catalogs, and promotional materials
- Create digital graphics using Canva (required)
- Prepare print-ready publications
- Assist with photography and video production
- Create promotional videos and digital presentations
- Update website graphics and visual content
3. Social Media & Marketing
- Manage daily social media platforms including Facebook, Instagram, TikTok, YouTube, Google Business, and LinkedIn
- Create engaging posts, stories, reels, and short-form videos
- Promote school programs, continuing education courses, workshops, and community events
- Support branding and digital marketing initiatives
- Assist with email marketing campaigns and newsletters
- Monitor social media engagement and online reputation
4. Academic & Curriculum Management
- Upload and organize teaching materials using Moodle, Google Workspace, and other learning platforms
- Assist instructors with course preparation and classroom resources
- Organize curriculum documents, syllabi, academic handbooks, and instructional materials
- Maintain digital educational resources
- Support academic scheduling and classroom coordination
- Assist with educational projects and accreditation documentation
5. Clinic Operations Support
- Assist with scheduling clinic appointments
- Coordinate student clinical operations
- Prepare patient forms and clinic documentation
- Maintain organized clinic records
- Support clinic workflow and daily operations
- Assist with community outreach clinic events
6. Human Resources & Administrative Support
- Assist with recruiting, interviewing, onboarding, and orientation of new employees
- Prepare personnel documents and training materials
- Maintain employee files and administrative records
- Coordinate meetings, schedules, and office communications
- Assist with payroll-related documentation when needed
- Support general office administration and Director projects
7. Office Operations
- Answer phones and greet visitors professionally
- Maintain office organization and administrative systems
- Order and manage office supplies and inventory
- Coordinate meetings and appointments
- Prepare reports, letters, and official documents
- Support daily office operations
8. Website & Technology Support
- Update website content, graphics, and announcements
- Organize digital files and cloud storage systems
- Upload school policies, catalogs, handbooks, and teaching materials
- Support school software platforms and digital systems
- Assist with AI-powered educational projects and digital transformation initiatives
9. AI & Digital Innovation
- Utilize AI tools such as ChatGPT, Canva AI, Google Workspace AI, and related technologies to improve productivity
- Assist in developing AI-enhanced educational materials
- Support online learning initiatives
- Participate in digital innovation projects across the school
10. Events & Community Outreach
- Assist with Open House events
- Support graduation ceremonies
- Help organize continuing education seminars and workshops
- Participate in community health outreach activities
- Represent the school at educational and community events
Required Qualifications
- Excellent Canva and graphic design skills
- Strong computer proficiency
- Fast and accurate typing skills
- Experience with Microsoft Office (Word, Excel, PowerPoint)
- Experience with Google Workspace
- Basic photography and video editing skills
- Strong written and verbal communication skills
- Excellent organizational and time management abilities
- Strong customer service skills
- Ability to multitask and prioritize responsibilities
- Ability to work independently and efficiently
- Professional appearance and positive attitude
- Experience managing social media platforms
