POSITION SUMMARY
Performs intermediate Legal Operations work involving legal document preparation, filing support, calendaring, case documentation, queue management, and issue resolution. This role works with greater independence than Specialist I, supports multiple legal workflows, and helps ensure assigned matters are processed accurately, timely, and in compliance with firm, client, and court requirements.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
- Prepare, review, edit, process, and route legal documents, correspondence, filings, and related case materials in accordance with firm and client requirements.
- Request, receive, review, and organize documentation from clients, courts, vendors, attorneys, and internal departments.
- Maintain accurate electronic files, case notes, account statuses, calendars, task queues, and internal system data.
- File, serve, monitor, and follow up on legal filings and court or vendor activity, escalating rejections, delays, or exceptions promptly.
- Communicate updates, requests, issues, and next steps clearly with attorneys, managers, collectors, clients, courts, vendors, and internal departments.
- Follow established workflows, client requirements, court rules, compliance standards, and firm policies and procedures.
- Prioritize assigned work to meet deadlines in a high-volume legal operations environment.
- Maintain regular time and attendance and perform other duties as requested.
- Research and resolve routine processing issues, missing information, rejected filings, and workflow exceptions with limited guidance.
- Assist with reviewing work for completeness, accuracy, proper documentation, and compliance with assigned procedures.
- Support training and guidance for newer team members as directed by the Legal Operations Lead or Manager.
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- 2+ years of legal operations, litigation support, collections litigation, or related legal experience.
- Working knowledge of legal documents, court filings, calendaring, case documentation, and high-volume legal workflows.
- Proficient in Microsoft Office applications, with Excel proficiency preferred.
- Ability to work with minimal guidance to prioritize and handle multiple concurrent tasks.
- Experience with case management systems, e-filing platforms, client systems, or court/vendor portals preferred.
- Excellent verbal, written, organizational, and follow-up skills.
- Strong work ethic, dependable attendance, and ability to meet deadlines in a fast-paced environment.
