The Role
We're looking for an Office Administrator to keep our office running smoothly and support our team's day-to-day work. This role blends front-office operations with administrative, billing, and light marketing support — you'll be a key point of contact for clients and a right hand to our staff. The ideal candidate is organized, detail-oriented, self-motivated, tech-savvy, and brings a genuine customer-service mindset.
Key Responsibilities
- Manage and coordinate day-to-day office operations and procedures
- Greet visitors and direct them to the appropriate person or office
- Answer and route phone calls and emails from clients and other stakeholders
- Maintain office supplies inventory and place orders as needed
- Schedule meetings, appointments, and travel arrangements for staff members
- Keep client records and our CRM / practice management systems current and accurate
- Support client billing — preparing and sending invoices, tracking payment status, and following up on outstanding balances
- Organize files, update paperwork, and maintain documents in an orderly, easy-to-find system
- Assist with light marketing tasks — scheduling social posts, updating the content calendar, and helping coordinate email campaigns
- Understand, maintain, and help improve internal office processes
- Provide general administrative support to all staff members
What We're Looking For
- Minimum of 5 years of relevant administrative experience
- CPA firm or tax/accounting office experience highly preferred
- Strong organizational skills and close attention to detail
- Comfortable learning and working across multiple software systems (CRM, billing, scheduling)
- Clear, professional communication with clients and staff alike
- A self-starter who's comfortable owning tasks with minimal oversight
Schedule
Tax season hours are expected to run 40–50 hours/week. Outside of tax season, hours are workload-dependent, generally 30–40 hours/week.
Compensation & Benefits
- $50,000–$60,000 annually, depending on experience

This role is currently in-office for all scheduled hours.
Pay: $50,000.00 - $60,000.00 per year
