Position Title: Receptionist / Front Desk Coordinator
Job Summary We are seeking a dependable, organized, and customer-focused individual to serve as the primary receptionist for our animal hospital. This role is essential to our daily operations as you will be the first point of contact for clients and the central hub for communication within the clinic.
The ideal candidate thrives in a fast-paced environment, communicates clearly and compassionately, and can confidently manage multiple responsibilities while supporting both clients and medical staff.
Key Responsibilities
- Serve as the main point of contact for all incoming phone calls—answering, triaging, and directing as needed
- Greet clients and patients warmly and professionally upon arrival
- Schedule and confirm appointments; prepare daily schedules for veterinarian and staff including calendar management and coordinating meetings
- Handle clerical duties including photocopying, mailing, and managing office supplies inventory
- Manage patient records, intake forms, and general clinic paperwork with accuracy and confidentiality
- Maintain Accounts Receivable
- Conduct / Manage Payroll
- Provide clear and helpful information to clients in person, over the phone, and via email
- Process mail, deliveries, and outgoing correspondence
- Maintain a clean, organized, and welcoming reception area
- Monitor and order front office supplies as needed
- Assist the veterinary team with administrative and general support tasks as needed
Qualifications & Skills
- Previous experience in a receptionist, front desk, or customer service role (veterinary or medical office experience preferred)
- Strong communication and interpersonal skills with a friendly, professional demeanor
- Excellent multitasking and time-management abilities
- Practical / independent thinking skills
- Highly organized with strong attention to detail
- Ability to stay calm and efficient in a fast-paced or high-pressure environment
- Proactive problem-solver with a team-oriented mindset
- Comfortable using office equipment and basic computer systems
- High school diploma or equivalent required; additional administrative training is a plus
Work Schedule
- Full-time position
- Monday, Tuesday, Thursday, Friday, Saturday, with alternating hours / days with other receptionist

Pay: $17.00 - $22.00 per hour
