North Bay Waterworks is a manufacturer's representative and distributor serving the municipal waterworks industry. We partner with leading manufacturers to provide products and solutions used in essential water and infrastructure projects throughout California.
We're looking for a dependable, organized, and proactive Operations & Administrative Coordinator to become an integral part of our team. This is a hands-on position where no two days are exactly the same. You'll work closely with our sales team, customers, manufacturers, and warehouse to help keep daily operations running smoothly.

What You'll Do
As our Operations & Administrative Coordinator, you'll support many aspects of the business, including:
Administrative & Operations
- Maintain CRM records, project pipelines, and sales trackers
- Coordinate customer and distributor follow-ups
- Review and distribute construction leads
- Prepare sales activity reports
- Review commission reports and identify discrepancies
- Assist with inventory tracking and monthly inventory counts
- Maintain organized records and operational documentation
Customer & Sales Support
- Prepare customer quotes
- Process purchase orders
- Coordinate shipments with vendors and freight carriers
- Generate invoices
- Respond to customer inquiries by phone and email
- Provide backup support for our Inside Sales team
Warehouse & Inventory
- Assist with receiving and shipping products
- Help maintain inventory accuracy
- Organize warehouse materials
- Support day-to-day operational activities as needed

Preferred Qualifications
- Microsoft Office (Excel, Outlook, Word)
- Experience with QuickBooks, ERP, CRM, or inventory software
- Administrative, operations, customer service, or office experience
- Experience in distribution, manufacturing, construction, or the waterworks industry is a plus—but we're happy to train the right person.
Physical Requirements
- Ability to lift and move materials weighing up to 65lbs.
- Ability to stand, walk, bend, and perform physical tasks throughout the workday.
- Comfortable working in both an office and warehouse environment.
