The Financial and Constituent Relations Coordinator supports the financial operations and donor stewardship activities of the RI College Foundation and Alumni Association. This role is responsible for managing gift processing, maintaining accurate financial records, and supporting accounts payable, payroll, and reporting functions. The position plays a key role in ensuring timely donor acknowledgments, tracking pledges, and assisting with audits, while delivering excellent service to alumni and donors. Candidates should bring strong attention to detail, organizational skills, and the ability to manage multiple priorities in a collaborative, service-oriented environment.
Primary Purpose
This position is responsible for assisting the Finance Manager in the overall management of the gift processing system and financial record keeping for the RI College Alumni and Foundation.
Essential Duties
- Process all gifts, miscellaneous receipts and pledges into the Blackbaud donor database system to include the following: enter all gifts and pledges, generate a daily receipt voucher, reconcile checks, cash and credit cards and prepare bank deposits.
- Produce all original donor gift acknowledgements according to the Gift Acknowledgment/Stewardship policy and procedure.
- Track outstanding pledges and produce pledge reminders as needed.
- Prepare purchase orders and accounts payable invoices for approval. Generate accounts payable checks through the Blackbaud Financial System. Coordinate check signing with the Finance Manager.
- Produce and distribute monthly departmental financial reports.
- Produce and distribute annual 1099s.
- Prepare monthly bank reconciliations and other general ledger accounts as identified by the Finance Manager.
- Generate bi-weekly payroll checks from Paylocity.
- Assist in preparation for annual audit.
- Interact with alumni and friends of the College to ensure that giving activities are handled.
- in such a manner that encourages optimal customer services and philanthropic support.
- Perform all other duties as required.
Occasional Duties
- Work occasional non-standard hours to meet with donors and volunteers.
Required Skills, Knowledge, and Abilities
- Experience in non-profit sector specifically with donor relations/gift processing systems.
- Proficiency with Microsoft Excel and Word.
- Strong analytical, interpersonal, communication, and organizational skills.
- Demonstrated ability to work well with a variety of staff members and volunteers.
- Ability to develop and implement improvements to data and accounting systems and possess ability to multi-task.
- Demonstrated skills in administration, organization and the ability to work well with staff and volunteers.
- Excellent oral, written, and interpersonal skills.
- Demonstrated skills in data entry with strong attention to detail.
Required Qualifications
Education
- Associate’s Degree in Accounting, Business, Computer Science, or similar field.
Experience

Minimum of two years’ experience with computer systems and bookkeeping.
Preferred Qualifications
- Bachelor’s degree in accounting, business, computer science or demonstrated experience in this field.
- Experience in constituent and donor relations.
- BlackBaud: Financial Edge, Raiser’s Edge, Financial NXT and Raiser’s Edge NXT experience.
