Responsibilities

Demonstrates a high degree of confidentiality and discretion in working with client information.

Provides administrative support to the nursing department in the facility.

Informs supervisor of supply/equipment needs of the facility. Monitors supply/linen budget amounts and ensures correct coding to budget accounts.

Assists in developing and implementing procedures to ensure medical records are properly assembled, coded, signed, indexed, etc., before filing and/or retrieving. Collects, assembles, checks, and files client charts as required.

Collects and retrieves medical records for ADR’s and sends to requesting entity in a timely manner.

Ensures that established policies and procedures for the medical records area are followed by all personnel.

Reviews medical records and medical supply policies and procedures, at least annually, and participates in making recommended changes.

Reviews invoices from routine vendors to ensure accuracy and processes for payment in a timely manner. Oversees daily kiosk supply charges are captured and posted correctly and efficiently.

Educates staff on a regular basis to proper procedure for retrieving supplies.

Establishes, orders, and maintains adequate levels of medical supplies and linens in accordance with policies and procedures.

Stocks medical supplies on the units and maintains organization in the supply/linen closets.

Tracks medical equipment rentals and ensures they are returned in a timely manner. Reviews rental invoices for accuracy.

Establishes and maintains positive relationships with multiple vendors and oversees all nursing department medical supply purchasing and linen rental inventory.

Calls and schedules follow up appointments for our residents.

Arranges transportation for our residents to travel to their necessary appointments.

Prepares charts for new admissions.

Creates and maintains door labels, chart labels, resident photos and similar items.

Prepares rooms for admissions. Ensures we are prepared and ready to receive our new admissions in a comfortable, orderly and timely fashion.

Answers phones, transfers calls, and accurately takes and distributes messages. Answers general questions and appropriately screen calls.

Manages the visitor log capturing appropriate sign-in and sign-out procedures.

All other duties as assigned and/or appropriate to the position.
Requirements
Education: High school diploma or GED
Licenses or other required certifications: None
Experience: Minimum of one year experience in a clerical support role, preferable in a nursing or clinical environment. Previous experience working in or demonstrated comfort working in an Electronic Medical Records system and medical records is preferred.
Specialized knowledge, skills, or abilities:
- Proficient computer skills in Microsoft Office (Word, Excel, Outlook) plus the willingness to learn other computer programs if required
