This position will begin primarily in-office while learning our systems and processes. As trust and proficiency are established, there is potential to transition into a hybrid work schedule.
Position Overview
We're looking for someone who thrives in a fast-paced environment, enjoys solving problems, and isn't afraid to take ownership of tasks. You'll work directly with company leadership and become a key part of our daily operations by supporting office administration, customer service, scheduling, collections, and communication between customers, suppliers, and field crews.

Responsibilities
- Answer incoming phone calls professionally and confidently.
- Deliver outstanding customer service from first contact through project completion.
- Enter new customers, notes, and job information into our CRM.
- Prepare invoices and assist with accounts receivable and collections.
- Follow up on unpaid invoices and outstanding estimates.
- Schedule appointments and coordinate calendars.
- Assist with dispatching crews and adjusting schedules as needed.
- Communicate with field crews regarding job completion, material needs, and scheduling updates.
- Keep customers informed throughout their project.
- Prepare and organize estimates before they are sent.
- Process insurance documents and other administrative paperwork.
- Organize digital and physical files.
- Respond promptly to emails and customer inquiries.
- Build and maintain supplier relationships while seeking pricing discounts and cost savings.
- Assist leadership with special projects and day-to-day executive support.
- Help improve office systems and workflows.\
Qualifications
- Excellent verbal and written communication skills.
- Strong customer service skills with a friendly but assertive phone presence.
- Highly organized with exceptional attention to detail.
- Comfortable multitasking and prioritizing responsibilities.
- Strong computer skills and quick to learn new software.
- Familiarity with CRM software (experience preferred).
- Ability to take accurate notes and strong typing skills (shorthand or rapid note-taking is a plus).
- Experience managing calendars and schedules.
- Self-motivated with excellent follow-through.
- Professional demeanor with the ability to work well with customers, vendors, and coworkers.
- Previous experience in construction, home services, or a trade-related office is a strong plus.
Pay: $19.00 - $25.00 per hour
