About the Role
We are seeking a highly organized, responsive, and customer-focused Inside Sales & Customer Support Coordinator to join our lighting manufacturing team. This role will be responsible for supporting the sales process from initial customer inquiry through quote, proforma invoice, and payment collection, while also managing our shared sales inbox and responding to day-to-day customer support needs.
This is a remote position, with an intensive 1–2 month in-person training period in Los Angeles required at the beginning of employment. The ideal candidate is detail-oriented, proactive, comfortable communicating with customers, and able to manage multiple sales opportunities and follow-ups without losing track of the details.
EXPERIENCE: Must have lighting knowledge background and understanding basic electrical, and lighting voltage/amp/watts/cct.
Key Responsibilities
Inside Sales Support
- Respond promptly to incoming requests for quotes (RFQs) from customers, dealers, designers, contractors, and other sales contacts.
- Prepare and send accurate quotes based on product specifications, quantities, pricing, lead times, and customer requirements.
- Follow up consistently on outstanding quotes to answer questions, address concerns, and move opportunities toward an order.
- Convert approved quotes into proforma invoices and coordinate the next steps toward payment.
- Follow up with customers on outstanding invoices and payments.
- Maintain accurate records of quotes, orders, invoices, and customer communications.
- Coordinate with internal teams regarding product availability, lead times, pricing, shipping, and special requests.
- Help ensure a smooth transition from quote to confirmed order.
Sales Inbox & Customer Support
- Manage the shared sales inbox and ensure incoming inquiries are reviewed, prioritized, and responded to promptly.
- Respond to general customer questions regarding products, pricing, availability, lead times, orders, shipping, and other support matters.
- Identify inquiries that require assistance from sales, production, shipping, accounting, or management and route them appropriately.
- Monitor open customer issues and follow through until they are resolved.
- Maintain a professional, helpful, and solutions-oriented tone in all customer communications.
Administrative & Sales Coordination
- Keep customer and sales information organized and up to date.
- Track outstanding quotes, follow-ups, invoices, and payments.
- Maintain accurate documentation within the company's CRM, order management system, or other internal tools.
- Provide visibility to the sales team regarding open opportunities and pending customer actions.
- Identify recurring customer questions or process issues and suggest improvements.
Qualifications
- 2+ years of experience in inside sales, sales support, customer service, order processing, or a similar role.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Highly organized with the ability to manage multiple requests and deadlines simultaneously.
- Comfortable following up with customers by email and phone.
- Strong follow-through—you don't let open quotes, unanswered questions, or pending payments fall through the cracks.
- Comfortable working independently in a remote environment.
- Proficient with email, spreadsheets, and standard business software.
- Able to learn product specifications, pricing structures, and internal processes quickly.
- Professional, personable, and customer-service oriented.
Preferred Qualifications
- Experience in lighting, architectural products, furniture, interiors, construction, manufacturing, or another specification-driven industry.
- Experience working with quotes, purchase orders, proforma invoices, or payment collection.
- Experience working with dealers, interior designers, architects, contractors, or other trade customers.
- Familiarity with CRM, ERP, order management, or accounting systems.

The successful candidate will become the reliable point person who keeps the sales process moving. Customers receive timely responses, quotes are followed up on, approved orders move efficiently to proforma invoices, payments are collected promptly, and no customer inquiry gets lost in the inbox.
