Job Overview
We are seeking a dynamic and highly organized Substitute Teacher Office Coordinator to join our educational team at West Hawaii Explorations Academy. This full-time, vital role combines administrative excellence with exceptional office support, ensuring the smooth operation of our substitute teaching needs. As a main point of contact, you will manage office functions related to substitute teaching needs, coordinate substitute teacher schedules, and facilitate communication between staff, teachers and administration. Your energetic approach and attention to detail will help create a welcoming environment and support the overall success of our educational community. In addition to coordination of our substitute teaching pool, you will also play the role of a substitute teacher when required.
Hours are Monday through Friday, 8am to 4pm, in-person on our campus.
Duties
- Serve as the primary point of contact on all functions related to substitute teaching with professionalism and warmth
- Return calls promptly while providing accurate information or routing calls appropriately
- Coordinate substitute teacher schedules, including calendar management and availability tracking
- Maintain accurate records of substitute assignments, attendance, and related documentation through data entry and filing systems
- Support clerical duties including proofreading documents, managing correspondence, and preparing reports using Google Workspace tools
- Organize files systematically, and ensure all administrative tasks are completed efficiently to support daily operations, include process improvements to make the substitute teaching pool feel supported
- Maintain and manage emergency substitute plans across all subjects
- Intake of forms from substitute pool for teacher and administration review on support needed and classroom management
Experience
- Passion for education: an educational background is helpful
- Prior office management or administrative experience in an educational or similar setting is highly preferred
- Demonstrated proficiency with computer skills including Google Workspace (Gmail, Docs, Sheets), and data entry systems
- Experience with front desk operations, and customer service is essential
- Clerical skills like proofreading and filing will enhance your success in this role
- Excellent organizational skills with the ability to prioritize tasks efficiently while managing time effectively
- Personal assistant or office support experience that involves calendar management, phone etiquette, and handling confidential information is advantageous
