We are seeking a detail-oriented and organized Executive Assistant: Accounting & Finance to support our management, operations, and accounting team. The ideal candidate will assist in maintaining financial records, ensuring accuracy in bookkeeping, and providing general administrative and office support to contribute to the smooth day-to-day operations of the organization. This role requires proficiency in accounting software, strong organizational skills, and the ability to manage both financial and administrative tasks effectively.
Knowledge of the construction industry and familiarity with a start-up environment is a plus.
Responsibilities
Bookkeeping & Financial Support
- Maintain accurate financial records and ledgers
- Perform accounts payable and accounts receivable functions, including invoice processing and payment tracking
- Prepare journal entries and assist with month-end close processes
- Conduct balance sheet reconciliation and general ledger reconciliation to ensure accuracy
- Assist in the preparation of financial reports and statements for management review
- Support budgeting processes and account analysis as needed
- Handle payroll processing and bank reconciliation tasks as required
- Utilize accounting software and project management software (Procore) for daily operations
- Ensure proper documentation of all financial transactions, adhering to internal controls
Office Management & Administrative Support
- Manage office supplies, equipment, deliveries, and vendor relationships to ensure efficient operations
- Schedule and coordinate meetings, appointments, and travel arrangements for key stakeholders as required.
- Assist with filing, record-keeping, and maintaining both digital and physical office systems
- Help organize company events, trainings, or staff communications
- Perform general clerical duties including photocopying, scanning, mail distribution, stocking the kitchen, etc.
- Provide administrative assistance to management as needed, ensuring smooth workflow and task completion
Skills
- Proficiency in accounting software(s) and/or construction management platforms such as Procore
- Fluency in English. Bilingual in Spanish or Mandarin is a bonus.
- Strong understanding of corporate accounting
- Knowledge of financial concepts including double-entry bookkeeping, debits & credits, account reconciliation, and budgeting
- Experience with balance sheet reconciliation and general ledger accounting
- Ability to prepare financial reports with attention to detail
- Familiarity with tax experience and technical accounting practices
- Strong organizational skills with the ability to manage multiple tasks and deadlines
- Ability to self-advocate and take initiative without being asked
- Proficiency in Google Suite
- Effective communication skills, both written and verbal, for collaboration within the team and with external contacts
- Professional, adaptable, and resourceful with strong problem-solving abilities
- Strong understanding or interest in the construction industry and knowledge of architectural drawings sets, softwares, and workflows
Job Type: Full-time
Pay: $55,000.00 - $60,000.00 per year
