We are seeking an energetic and detail-oriented Car Dealership Office Manager to lead our dealership’s administrative and financial operations. In this pivotal role, you will oversee accounting functions, ensure regulatory compliance, manage financial reporting, and coordinate with various teams to maintain smooth dealership operations. Your expertise in financial management, accounting software, and team leadership will drive efficiency and accuracy across all office processes. The position entails handling titlework processing through the DDI EVR system to issue temporary tags, input title information, and upload to the DMV for customers to receive their Titles, Tags, and for the state to issue Property Tax invoices. You will be processing credit applications and working finance deals through the DealerCenter system, DealerTrack, and RouteOne. You will be responsible for ensuring all the required stipulations the lenders require are received, accurate, current, and uploaded, as well as following up on pending deals, contacting the lender reps, etc to ensure prompt funding of any finance deals. When there's no credit applications to work and no active deals in house to run through the EVR system, you will be responsible for mailing (Fedex primarily), item returns on ebay and amazon for parts that were wrong or not needed from the Mechanics, running any NC Finance Deals to the Shallotte Plate Agency to get plates and temporary registration for the NC clients (needed to finalize Outstanding Titles) with the lenders and to ensure that the lienholders are recorded properly. You will need to have good organizational skills to keep everything in order and to ensure any cash received is collected and accounted for, and any payments made by Zelle or Venmo are verified with the Owner before allowing a vehicle to leave the lot. You will be responsible for making sure any titlework that is sent back in EVR is fixed, scanned, and uploaded in a timely manner. You will be responsible for making new folders and key tags for vehicles the owner purchases through the Auctions and from trade-ins, entering the information into the DealerCenter system to ensure the inventory is accurately reflected and able to be pulled over to the website. You will be responsible to make sure any sold vehicles are marked as such in DealerCenter and on the websites back-end. You will, at the end of each week, complete the Post-Sale review sending. Some minor cleaning duties will also be required (primarily keeping the deal office clean and organized).
