A well-established investment and asset management firm is seeking a self-driven and ambitious Executive Assistant to join its growing team. Main point of contact amongst executives, staff, external partners, and other satellite offices

Manage information flow via email and other messaging platforms in a timely and accurate manner.

Manage CEO calendars and set up meetings

Make travel and accommodation arrangements occasionally

Prepare weekly, monthly or quarterly reports

Oversee the performance of other clerical staff

Format information for internal and external communication – memos, emails, presentations, reports

Screen and direct phone and distribute correspondence

Organize and maintain the office filing systems

Maintain compliance with all company policies and procedures

Other duties as assigned

Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.

1-2 years of office administration or similar related experience

Excellent computer proficiency (MS Office – Word, Excel, and Outlook)

Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service

Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.

Work experience as an Executive Assistant, Personal Assistant, or similar role

Outstanding organizational and time management skills

Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)

High school diploma or GED required.

Associate degree preferred.
Salary expectation: 75K-110K
