Senior Benefits Coordinator
Position Summary
The Senior Benefits Coordinator is responsible for administering the organization's employee benefits programs while ensuring compliance with federal, state, and local regulations. This role serves as the subject matter expert for benefits administration, ACA compliance, and employee benefit programs, partnering closely with HR, Payroll, brokers, and benefit vendors to deliver accurate, compliant, and employee-focused benefits administration.
The ideal candidate has extensive experience managing benefits in a multi-state environment, including California and Oregon, and possesses strong knowledge of ACA regulations, employee benefits compliance, and HRIS systems.
Essential Duties & Responsibilities
· Administer medical, dental, vision, life, disability, retirement, FSA/HSA, and voluntary benefit programs.
· Manage new hire enrollments, qualifying life events, terminations, and annual open enrollment.
· Ensure accurate benefit eligibility, enrollments, payroll deductions, and carrier file administration.
· Reconcile carrier invoices and resolve enrollment or billing discrepancies.
· Lead ACA compliance activities, including eligibility tracking, measurement and stability periods, affordability monitoring, and annual reporting support.
· Maintain compliance with ERISA, COBRA, HIPAA, Section 125, and applicable federal and state regulations.
· Administer benefits in compliance with California and Oregon employment and leave laws.
· Serve as the primary liaison with insurance carriers, brokers, third-party administrators, and internal stakeholders.
· Develop employee benefit communications and provide guidance on benefit plans and enrollment.
· Support benefit renewals, open enrollment, audits, system implementations, and process improvements.
· Generate reports, analyze benefits data, and recommend operational improvements.
· Partner with HR and Payroll to ensure accurate benefit administration and regulatory compliance.
Qualifications Required
· Bachelor's degree in Human Resources, Business Administration, or related field, or equivalent experience.
· 5+ years of employee benefits administration experience.
· Strong knowledge of ACA compliance and employee benefits regulations.
· Experience administering benefits for employees in California and Oregon.
· Experience with HRIS and payroll systems.
· Advanced Microsoft Excel skills.
· Excellent analytical, organizational, and communication skills.
Preferred
· CEBS, SHRM-CP/SHRM-SCP, PHR, or similar certification.
· Experience with ADP Workforce Now or other enterprise HRIS platforms.
· Experience supporting multi-state employers.
Knowledge & Skills
· Advanced knowledge of employee benefits administration and ACA compliance.
· Strong understanding of federal and state benefits regulations.
· Ability to manage multiple priorities while maintaining exceptional accuracy.
· Strong customer service, problem-solving, and relationship management skills.
· Ability to work independently and maintain confidentiality.
Pay: $31.00 - $36.00 per hour
