The role involves supporting attorneys and paralegals by handling legal, administrative, and clerical tasks for the Immigration team.
Key Responsibilities:
- Keep track of deadlines by maintaining databases, charts, and calendar reminders for filings like extensions, petitions, and applications.
- Help prepare employment-based immigration applications and petitions for submission to USCIS and the Department of Labor, including consular filings.
- Print, assemble, and send application packages.
- Track and follow up on outgoing mail and packages.
- Use the USCIS website to check filing requirements such as fees, forms, and addresses, and submit service requests when needed.
- Prepare engagement letters and open new client matters.
- Handle incoming mail by scanning, sharing, updating records, and drafting responses.
- Prepare expense reports and travel approvals.
- Draft letters and affidavits to support applications.
- Collect and organize required documents for filings.
- Coordinate translation of foreign documents and evaluation of foreign degrees.
- Maintain and organize client electronic files.
- Help team members when needed, especially during busy times or absences.
- Perform other administrative tasks as assigned.
Skills and Abilities:
- Strong organization and attention to detail.
- Good communication skills (written and verbal).
- Ability to work independently with minimal supervision.
- Basic knowledge of USCIS and Department of Labor processes.
- Experience with INS Zoom is a plus.
- Familiarity with Microsoft Office (Word, Outlook, Excel, PowerPoint) and Adobe.
- Self-motivated and able to take ownership of tasks.
Education and Experience:
- At least 2 years of experience as an immigration legal secretary (preferably with business visas) in a law firm or similar setting.
- High school diploma required; college coursework or certifications are a plus.
Pay: $55,000.00 - $65,000.00 per year
