PRIMARY ACCOUNTABILITIES/RESPONSIBILITIES:
1. Act as Recording Secretary for Board meetings, ALCO, Audit Committee, Compliance Committee, Loan Committee, and any other committees Bank may have. Minutes should be detailed, complete, organized and properly signed by respective persons and filed in a properly safeguarded area
2. Coordinate, arrange, and assist in the preparation of all materials for Board and committee meetings
· Prepare Agendas before every meeting and distribute
· Prepare any materials needed for meetings or events requested
· Coordinate appointments/meetings for the Board of Directors and CEO
· Make travel arrangements for CEO or as requested
· Prepare important letters/memos that are circulated in the office
· Prepare reports as required by CEO and CFO
· Maintain files, database, calendars, and hard-copy files
· Provide support for projects and special events as requested
· Maintain confidentiality in all aspects of the bank’s dealings
3. Represent the CEO and Bank in a professional and congenial manner in person, in telephone conversations and in written correspondence.
4. Read and analyze incoming emails, memos and reports to determine their significance and plan their distribution
5. Greet visitors and determine whether they should be given access to specific individuals
6. File and retrieve Bank documents, records, and reports
7. Answer phone, handle all correspondence through mail, fax or email
8. Assist PR Officer in heading up committees for employee and bank events such as Christmas party, New Years, etc.
