Team Administrative Assistant
Position Overview
One of the top performing Real Estate Teams in the Lehigh Valley is seeking a highly
motivated and organized Administrative Assistant/Technology Director to support our
dynamic real estate team. This full-time position plays a critical role in ensuring the
smooth operation of the team by providing administrative, technology, operational, and
marketing support to the Team Owner, Team Leaders, and Agents. The ideal candidate
is a proactive, detail-oriented professional and technologically savvy with excellent
communication skills and the ability to thrive in a fast-paced environment.
Key Responsibilities
Administrative Support
- Work directly with Team Owner to provide high-level administrative and operational
support, including coordinating logistics, managing external errands, and ensuring
the timely execution of critical tasks
- Provide comprehensive administrative support to the Team Owner and Team
Leaders.
- Schedule and coordinate travel, meetings, events, and team activities.
- Manage the team calendar to ensure seamless coordination of appointments and
deadlines.
- Purchase office supplies and manage inventory to support team operations.
- Ensure building spaces and conference rooms are organized, professional, and
ready for meetings.
- Perform other duties as assigned to support team objectives.
Agent Support and Onboarding
- Conduct regular agent check-ins to provide support, leadership, and motivation.
- Facilitate onboarding for new agents, including training on all team systems.
- Act as a liaison between team members and Marketing Department to develop
marketing materials, including listing presentations, buyer consultations, and
postcards etc.
- Support agents in lead development by identifying opportunities through database
mining and relationship building.
Database Management
- Manage and maintain the team's client database with a focus on accuracy and
efficiency.
- Oversee Database operations, including daily checks, lead management, follow-up
tasks, and establishing best practices for automations and drip campaigns.
- Provide exceptional client care to strengthen relationships and ensure client
satisfaction.
- Training on a regular basis a Database develops to know all trends
- The ability to manage Inside Sales Associates and Virtual Assistants
Marketing and Social Media
- Coordinate and create engaging, up-to-date, and trending content for the team's
social media platforms, including TikTok, Instagram, Facebook, and others.
- Respond to social media inquiries and comments as needed to maintain an active
online presence.
- Collaborate with BlueEdge Marketing to develop and implement marketing
strategies for agents and the team.
- Understand and leverage listing promotion tools
Communication and Software Management
- Utilize and manage communication platforms such as Slack to ensure effective
team collaboration.
- Communicate regularly with agents and team leaders to coordinate tasks and share
updates.
- Attend team meetings and work with team leaders to develop agendas and ensure
productive discussions.
Qualifications and Skills
- Ability to work independently, self-manage, and juggle multiple projects while
meeting deadlines.
- Strong organizational skills with a keen attention to detail.
- Excellent verbal and written communication skills for clear and professional
interactions.
- Ability to prioritize tasks and thrive in a fast-paced, dynamic environment.
- High level of integrity and commitment to confidentiality.
- Proficiency in database management, social media platforms, and communication
tools (e.g., Follow Up Boss, Slack).
- Experience in real estate or marketing is a plus but not required.
- Highly motivated with a positive attitude and a passion for building relationships.
