Job Summary
The Bookkeeper and Administrative Assistant is responsible for managing the day-to-day financial and administrative operations of a trucking company. This role combines accurate bookkeeping with office administration to support efficient business operations, maintain financial records, and ensure compliance with transportation industry requirements. Responsibilities include accounts payable and receivable, invoicing, payroll support, bank reconciliations, expense tracking, driver settlements, fuel and maintenance record management, permit and insurance documentation, and general office administration. The ideal candidate is highly organized, detail-oriented, proficient in Quickbooks accounting software, and able to manage multiple priorities in a fast-paced transportation environment while maintaining accuracy and confidentiality.
Duties
- Maintain accurate financial records using QuickBooks and other productivity software
- Perform data entry for invoices, payments, and expense reports with precision and efficiency
- Multitasking, answer inquiries professionally, and direct calls appropriately
- Provide Admin support by organizing documents and internal files.
- Support dispatchers, and management with different office tasks.
- Assist with filing, proofreading documents, and organizing electronic and paper files
- Offer customer support via phone or email, ensuring excellent service and clear communication
- Coordinate office management tasks such as supply ordering, appointment setting, and general administrative duties
Requirements
- Proven experience with bookkeeping software such as QuickBooks and proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent computer literacy including familiarity with Google Workspace (Gmail, Drive, Calendar)
- Previous office or clerical experience with a focus on data entry and administrative support
- Exceptional phone etiquette and customer service skills; experience managing multi-line phone systems preferred
- Bilingual abilities are a plus to serve diverse client needs effectively
- Technical proficiency in office management tools along with strong typing skills (minimum required words per minute)
- Experience in medical or dental receptionist roles is advantageous but not mandatory
- Personal assistant or front desk experience demonstrating calendar management and personal support skills is highly valued
