Position Summary
This is far more than a traditional executive assistant role. The Senior Executive Assistant to the Founder/CEO serves as a trusted partner to the Founder/CEO and plays a critical role in supporting executive leadership, organizational effectiveness, community engagement, strategic initiatives, and board relations. The ideal candidate is a highly organized, emotionally intelligent, mission-driven professional who thrives in a fast-paced environment and has the ability to anticipate needs, solve problems proactively, and manage multiple priorities with discretion and excellence. This position provides unparalleled exposure to nonprofit leadership, community development, strategic planning, philanthropy, governance, and social impact initiatives.
KEY RESPONSIBILITIES
Executive Leadership Support
- Serve as the primary liaison between the Founder/CEO and internal and external stakeholders.
- Manage and maintain a highly complex and dynamic executive calendar.
- Screen, prioritize, and manage incoming communications and requests.
- Draft, edit, and prepare correspondence, presentations, reports, speeches, and briefing materials.
- Protect the CEO's time and ensure focus on strategic priorities.
- Exercise the highest degree of professionalism, diplomacy, and confidentiality.
Strategic Projects & Special Initiatives
- Coordinate special projects on behalf of the Founder/CEO from inception through completion.
- Track organizational priorities and follow up on action items to ensure timely execution.
- Conduct research and prepare background information to support executive decision making.
- Assist with strategic planning initiatives and organizational goals.
- Support the CEO in advancing key projects, including the development of Mama Hattie's House.
Board Relations & Governance
- Coordinate all Board of Directors and committee meetings.
- Develop meeting agendas and prepare board packets.
- Record and distribute meeting minutes.
- Maintain board records and governance documentation.
- Support ongoing communication between board members and executive leadership.
Community Engagement & Stakeholder Relations
- Support relationships with funders, elected officials, community leaders, partners, and stakeholders.
- Coordinate meetings, presentations, and community engagement opportunities.
- Represent the Founder/CEO at meetings, events, and engagements as needed.
- Assist with donor stewardship efforts and follow-up communications.
Event & Conference Coordination
- Assist in planning executive meetings, conferences, special events, and community gatherings.
- Support logistics for the annual conferences and other signature initiatives.
- Coordinate travel, accommodations, itineraries, and event materials.
Operations & Organizational Efficiency
- Develop and improve systems, processes, and workflows that increase organizational effectiveness.
- Maintain electronic and physical filing systems.
- Ensure organizational information is properly documented and easily accessible.
- Manage project timelines, deadlines, and executive priorities.
- Utilize technology and software applications to streamline operations and enhance productivity.
Qualifications
Required
- Bachelor's Degree from an accredited college or university.
- Minimum five (5) years of professional administrative experience.
- Minimum three (3) years supporting a senior executive, CEO, President, Executive Director, or Founder.
- Experience managing complex calendars and competing priorities.
- Experience coordinating meetings, travel arrangements, and executive logistics.
- Excellent written and verbal communication skills.
- Strong organizational, planning, and project management abilities.
- Ability to maintain confidentiality and exercise sound judgment.
- Proficiency in Microsoft Office Suite, Outlook, Teams, Zoom, and cloud-based document management systems.
Preferred
- Experience working in a nonprofit organization.
- Experience supporting board governance activities.
- Experience with fundraising, donor relations, or community engagement.
- Familiarity with CRM systems, Canva, SharePoint, Salesforce, or similar platforms.

Work Schedule
- Monday through Friday: 10:00 a.m. – 6:00 p.m.
- Occasional evenings and weekends required.
- Flexible scheduling is available based on organizational needs.
