Job Overview
We are seeking a friendly, organized, and dependable Office Administrator / Receptionist to join our team at Complete Fire Solutions, a growing fire protection company in the Fox Valley. This position is the first point of contact for customers, venders, and visitors and plays an important role in keeping our office and daily operations running smoothly.
This position is 7:00-4:00 Monday - Thursday (36-hour work week) with every Friday off!
Responsibilities:
- Answer and direct incoming phone calls and emails in a professional manner.
- Greet visitors and clients warmly, and enthusiastically.
- Enter and maintain customer and job information in company systems.
- Perform HR duties such as new empolyee on-boarding and insurance enrollment.
- Prepare invoices, reports, accounting bookkeeping, and other office documents.
- Assist with billing, accounts receivable, and payment processing.
- Enter and process payroll.
- Order and maintain office supplies.
- Assist management and other departments with adminstrative tasks.
- Maintain confidentiality and handle sensitive company and customer information appropriately.
- Perform other duties as needed to support daily office operations.
- Maintain organized filing systems, including digital files using Microsoft Office tools
- Perform data entry and document management tasks with accuracy and attention to detail
- Basic accounting tasks using Foundations Brand Software such as new job set-ups, billing, monthly financial reports, working with our accountant to pay taxes
- Sort mail and post payments to jobs.
Qualifications:
- Previous office administration, receptionist, customer service experience is preferred.
- Strong organizational and time-management skills.
- Professional and friendly phone manner.
- Strong attention to detail and accuracy.
- Ability to prioritize and maintain multiple tasks in a fast pace environment.
- Comfortable working with Microsoft Office, email, and accounting systems.
- Ability to work independently while also being a dependable team member.
- Previous experience in construction, fire protection, HVAC, electrical or another construction related field is a plus.
